Position Overview:
As a Front Desk Associate, you will serve as the first point of contact for our esteemed clientele, representing the essence of hospitality and professionalism. Your primary responsibilities will include greeting patients, scheduling appointments, managing inquiries, and ensuring the smooth operation of the Front Desk area. This role is instrumental in maintaining our practice's reputation for exceptional service and attention to detail.
Responsibilities:
- Warmly greet and assist patients upon arrival, providing a welcoming and personalized experience
- Manage appointment scheduling and confirmations, ensuring accuracy and efficiency
- Answer phone calls and emails promptly and professionally
- Coordinate patient paperwork and assist with administrative tasks as needed
- Escort patients to their exam room
- Collaborate with other team members to ensure a seamless patient experience from check-in to check-out
- Manage hospital and vendor communication
- Inventory ordering
- Uphold the practice's standards of cleanliness and organization in the Front Desk area
- Assist physician with administrative work like typing papers and creating power point presentations
- Manage and maintain physician schedule
- Cross train with other team members, assisting them as needed
- Maintain patient records and confidentiality in compliance with HIPAA regulations
- Consistent and reliable attendance
- Other duties as assigned
- Access to PHI is limited to the minimum necessary information to accomplish the intended purpose of a particular use, disclosure, or request by physician or patient
Qualifications:
- Previous experience in Front Desk role, preferably in a Plastic Surgery setting
- Exceptional interpersonal and communication skills, with the ability to interact effectively with diverse clientele
- Strong organizational abilities and attention to detail, with the capacity to multitask and prioritize tasks in a fast-paced environment
- Proficiency in computer skills (Microsoft Office) and familiarity with electronic medical records (EMR) systems (experience with Nextech is a plus)
- Demonstrated professionalism, reliability, and a commitment to upholding the highest standards of service excellence
- Knowledge of Plastic Surgery procedures and terminology is advantageous but not required.
