Job Title:                             People andCulture Coordinator & Payroll Administrator

Job Type::                           Full-time/Non-Exempt 

Work Schedule:                 Weekdays 8:30AM-5:00 PM/some weekends or evenings as needed.  

Work Hours:                      40 hours/week 

Pay Rate:                             $22.50-30.00 per hour 

Work Location:                 On-site - Bainbridge Island Campus

Paid Time off annual benefit:  

IslandWood offers 3 weeks paid vacation, 10 annual paid holidays and 80 hours of paid annual sick leave. (Time-off may be prorated during first year based on start date).


Remote Work:                 

IslandWood provides some flexibility to work remotely 1-2 days per week based on position, organization’s needs and employee’s performance, however during the first 6-month of employment it is expected that all work will be performed on-site.  Full-time remote work is not an option. 


OVERVIEW:

The People andCulture Coordinator & Payroll Administrator is responsible for completing a variety of tasks to support the daily operations of the Human Resources Department, including the maintenance of the HR system (BambooHR).  This position performs provides administrative support to one or more human resources functions, including recruiting, employee relations, compensation, benefits, training, equal employment opportunity, and/or employee records.   Processes department applications, including employment and enrollment application and maintains all employment record, and compiles statistics for various HR management reports.  This position oversees and manages the recruitment process and may conduct pre-employment screening interviews, check references, conduct new employee hiring and onboarding and respond to routine questions on HR policy.

 

This position prepares and processes payroll and associated information.  Collates and verifies data and inputs into the payroll system (Paychex).  Updates payroll records and processes routine changes to employee records.  Performs basic reconciliation and auditing processes during each pay cycle.  Responds to pay-related inquiries from staff.  Researches and resolves errors or omissions.  May prepare and submit reports and forms required by IRS or other regulatory bodies.  Follows all processing procedures, adheres to policy, and maintains confidentiality. 


PRIMARY RESPONSIBILITIES:

  • Responsible for full-cycle recruiting, including but not limited to job posting, conducting phone screens, scheduling interviews, making offers, checking backgrounds and references, tracking pre-hire paperwork, and conducting onboarding and benefit administration.
  • Handle daily employment-related inquiries from applicants, employees, and managers, referring complex and/or sensitive matters to the Director of People and Culture.
  • Track and manage annual training requirements. Perform monthly audits, enroll new hires and provide managers with quarterly reports.
  • Create quarterly HR metrics report to track trends in hiring, terminations/resignations, and workforce development.
  • Prepare and maintain employment records related to events such as hiring, termination, pay changes, status changes, transfers and promotions.
  • Manage and process all leaves and accommodations with guidance from the HR Director.
  • Holds ownership of the HRIS (BambooHR) and payroll (PayChex Flex) systems, including maintenance of employee information, data entry, reporting, and payroll processing.
  • Ensures timely and accurate delivery of any and all employment/payroll/tax annual reporting to outside agencies.
  • Reconciles payroll to amounts paid/withheld to insurers for dependents.
  • Processes 401k, HSA, FSA, Commuter and any other contributions, deductions, and deferrals
  • Maintains the IslandWood benefit package including employee training/orientation, enrollment, changes, and reconciles invoices for accuracy.
  • Ensures up-to-date benefits enrollment, accuracy of data, and timely reporting.
  • Resolves staff issues with benefit carriers and addresses benefit-related questions.
  • Administers and manages COBRA benefits.
  • Assists the Director of People and Culture with annual Performance Management system and reporting.
  • Runs standard monthly HR reports and custom reports as needed.
  • Assists with coordination of JEDI staff trainings.
  • Manages ESD unemployment claims, L&I claims or other similar requests from staff of outside agencies.
  • Files annual compliance reports; EEO-1, 5500, etc.
  • Manages annual Open Enrollment process; implements changes to annual insurance renewals.
  • Manages and schedules Annual Wellness clinics for staff and graduate students.
  • Develops, manages and publish People and Culture on-going communication to staff.
  • Support Managers with HR policy and process questions.
  • Supports IslandWood’s strategic plan to expand our mission and impact, and commitment to mission, vision, values and goals of IslandWood.

  • Performs other related duties as needed.


QUALIFICATIONS:

  • Minimum 1-3 years of experience in similar HR/Payroll/benefit administration position.
  • Knowledgeable of Federal and Washington State labor laws, ESD and WSDOL (HR Compliance Requirements)
  • Demonstrated commitment to social justice, equity, diversity and inclusion.
  • 1-2 years of experience performing highly detailed work involving sensitive or privileged information.
  • Background in Human Resources or education in Human Resources strongly desired.
  • Demonstrated initiative to improve processes and employee experiences.
  • Computer proficiency with MS Office suite; particularly strong Excel skills; experience with BambooHR and Paychex Flex a plus
  • Experience in engaging with diverse communities and staff.
