The Property Management Department plays a critical role in delivering the experiences that animate the places in the Pearl neighborhood. The individuals who join the Property Management team have the unique ability to reinforce the Pearl brand through the selection of partners to occupy our spaces and the effective operations of Pearl, both of which make Pearl unique. The Retail Property Manager (RPM) will lead the execution of Pearl’s ground floor strategy which includes the oversight and curation of the experiences associated with our ground floor tenants.
The RPM will lead retail leasing and tenant relationships, to include both retail and restaurant tenants. This position is accountable for the budgeting, reporting of variance explanations, and lease administration of retail leases. Collaborate with accounting on the recovery and escalation process for retail leases and serve as the primary point of contact for retail tenants. Budget for tenant improvements in accordance with Pearls’ long-term capital plan and oversee the improvements. Participate in retail tenant meetings and work with marketing team on activation plans. Assist in the coordination of property logistics for property activations. Partner with quality and revenue enhancement team in the execution of quality control initiatives.
Essential Functions
Prioritize work to ensure that ground floor experiences are exceptional for tenants and guests.
Ensure that Pearl’s ground floor tenant spaces reinforce the Pearl brand by providing a mix of unique offerings and experiences for our users.
Lead the development of budget for retail and restaurant operators at Pearl in conjunction with the accounting team. Report monthly on variance explanations.
Support the reconciliation of tenant common area maintenance, property tax and insurance costs and the completion of the annual audit.
Serve as the primary point of contact for all retail and restaurant tenants and lead tenant move ins and move outs.
Monitor and update market data for retail and restaurant lease types.
Lease Administration
Lead leasing efforts in accordance with Pearl’s ground floor strategy. Initiate and manage retail broker relationships to assist in leasing efforts.
Negotiate lease terms in conjunction with leasing strategy.
Lead tenant orientation for new retail and restaurant tenants and ensure all tenants are notified of any changes to Pearl policies or procedures.
Monitor compliance with lease terms and lead efforts to correct non-compliance as needed. Ensure current certificates of insurance are maintained and updated in system of record.
Review accounts receivable at least monthly and assist in collection efforts.
Ensure the accuracy of retail and restaurant contact lists and lead notification of tenants as needed.
Maintain lease control book and lease terms for retail and restaurant spaces.
Assist in the management of new concept pipeline consistent with ground floor strategy.
Manage storage leases for on-site units.
Sustainability
Accountable for engaging and assisting in the education of retail and restaurant tenants in the food waste program.
Assist operations Property Manager in the execution of recycling efforts for retail and restaurant tenants.
Identify new ways to improve Pearl’s sustainability efforts through collaboration with retail and restaurant operators.
Leadership & Communication
Prepare monthly management reports and provide recommendations for improving operations of Pearl’s ground floor.
Review and approve invoices and assist in accurately allocating invoices to ground floor tenants.
Manage special projects that impact ground floor tenants such as holiday programming, Fiesta planning, and coordinate with various departments for site activations and events.
Monitor the sales of ground floor tenants and assist in communication of results to tenants and leadership.
Serve as property management representative in quality initiatives, to include facility reviews, acquiring tenant sales data, and communicating performance results. Assist in monitoring remedial action as needed.
Lead retail and restaurant tenant appreciation program.
Education and Experience
- Bachelor’s or Associate degree or equivalent experience in related field required.
- 4 (four) plus years of commercial real estate experience
- Experience in property management (Mixed Use Management Office, retail, restaurant, residential a plus)
- Ability and experience in developing strong tenant relationships in a dynamic environment
- Proven experience in budgeting, escalations and recoveries
- Excellent communication and interpersonal skills, including the ability to speak with all levels of associates, tenants, guests, and vendors
- Great time management, organization and prioritization abilities
- Keen attention to detail and efficient problem-solving skills
- Certified Property Manager (CPM) or other designation a plus
- Ability to read construction documents a plus
