Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as a Scheduling Coordinator. The primary responsibility of this role is to efficiently manage the scheduling of builder jobs, maintain communication with builder liaisons, track progress of projects, and ensure seamless coordination between our team, builders, and customers.
- Manage the scheduling of builder jobs on a daily basis, ensuring efficient allocation of resources.
- Maintain regular communication with builder liaisons to track progress from clean out, prep to plaster stages.
- Coordinate schedules with builders and direct customers to ensure timely completion of projects.
- Set crew lists and create pick lists for outbound trucks to facilitate smooth operations.
- Monitor and maintain the scheduling mailbox, promptly responding to inquiries and requests.
- Build job folders and scheduling sticks to organize project documentation effectively.
- Input data and job details into Salesforce, including leads, builder jobs, quotes
- Assist in adding leads and relevant information into Salesforce to support the sales team in their efforts.
- Handle and complete petty cash transactions.
- Place orders for necessary supplies and materials, ensuring timely delivery and sufficient stock levels to support ongoing projects.
- Handle pool requests received through the website, email, or phone calls, and distribute them to the sales team for follow-up.
Required Skill and Qualifications
- Fluency in Spanish is a plus.
- Excellent communication skills, both verbal and written.
- Proficiency in Salesforce or willingness to learn.
- Ability to multitask and prioritize tasks effectively.
- Strong attention to detail and organizational skills.
