ABOUT THIS POSITION

As our P&C Coordinator you will facilitate the employee lifecycle by providing administrative support to the People & Culture team. You will provide a high level of customer service, interacting with candidates, new hires, and all members of the Aceable team. You will also be responsible for maintaining and processing HR-related paperwork, improving processes, and supporting P&C programs. Additional responsibilities include maintaining an optimal office environment, managing vendor relationships, and assisting in planning company events.

This is a part-time, nonexempt position expected to work 20-25 hours per week. This is a hybrid role, where the Coordinator will work in the Austin office between 2-3 days each week.

WHAT YOU'LL DO

  • Serve as the first point of contact for employee questions and requests, escalating as necessary
  • Schedule new hire onboarding and coordinate IT setup, initiate background checks, enroll in training, and provide clear communication to new hires and their managers
  • Facilitate employee offboarding
  • Assist with the processing of employee information, including I-9 verifications, employment verifications, and unemployment claims
  • Maintain employee personnel files and process employee changes (this includes creating and sending of change letters, processing within HRIS system, and partnering with Payroll Team to ensure accuracy)
  • Document workflows and procedures, and proactively find opportunities for process improvement
  • Ensure each employee has the best office experience by maintaining a clean, organized and efficient workspace for employees, including ordering office supplies
  • Manage vendor relationships, specifically with snack / beverage and parking vendors
  • Assist in organizing and executing inclusive company events including both in-person and virtual happy hours, community service events, summer & holiday parties, and other team building and community events
  • Provide administrative support for P&C projects, including engagement surveys, performance reviews, training, diversity initiatives, and more

WHAT YOU'LL NEED

  • Organizational skills; detail and quality-oriented
  • Ability to manage competing deadlines and changing priorities
  • Impeccable time management
  • Effective verbal and written communication
  • Proficiency with Google and Microsoft products
  • Confidentiality and a sense of discretion
