Job description

Payroll & Benefits Specialist


SUMMARY: This position co-administers payroll processing involving accurate calculation of wages, tax withholdings, and company deductions within the company including COBRA notification. This position holds primary responsibility for administration of benefits for the company. Reports to the Payroll Manager.

ESSENTIAL

FUNCTIONS: Payroll processing as directed by Payroll Manager for multiple entities. Administer health and benefit plans including enrollments and terminations. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Process monthly billings from insurance providers. Review billings for accuracy, codes and advances for payment. Resolve discrepancies with carriers, payroll and the company. Complete reports for management as requested. Coordinate with insurance companies/brokers to resolve associate insurance issues. Partner with HR in planning annual open enrollment period during 4th quarter of each year including; preparation/revision and distribution of materials, arranging on-site representation by providers, communicating changes to associates/answering questions and processing changes within deadlines. Serve as the COBRA Administrator for company. Fulfills all governmental regulatory mandates and ensures filings are performed as required. Plans, conducts and reports results of audits to ensure all enrollments are accurate. Partner with Accounting for monthly, quarterly and year end audits (payroll, Workers Comp, 401k, etc.). Assist Accounting with Accounts Payables for payroll and benefit venders. Prepares statistical reports on associate pay, commissions and bonuses, vacation, sick time, disability and workers compensation leave, and taxes/withholdings, etc. Facilitates associate understanding of payroll and benefit procedures in order to resolve issues and answer related questions. Process associate terminations and transfers for company. Analyze ACA forms 1095-C and 1094-C and resolve discrepancies to ensure accurate ACA filing. Perform other duties as assigned. Attendance and punctuality are essential functions of this position.

PHYSICAL

DESCRIPTION: Regularly mobile and often stationary within office environment – standard office furniture: desk, padded swivel chair. Frequently traversing/navigating at InnSight HMG managed properties and other locations on carpet, tile, stone and cement. Occasional navigation of stairs. Ability to operate computers, phones, copier/fax machines and other standard office equipment. Motions required for in and out of vehicle. Navigation outdoors - uneven terrain and climate as needed. Move/transport average weight frequently 10 lbs. Maximum weight occasionally 20 lbs. Pushing/pulling average weight frequently 10 lbs. Maximum weight occasionally 50 lbs.

WORKING

CONDITIONS: Exposed to general office environment with noise from computers, office machines, fluorescent lighting, telephones and conversation. Could include exposure to fumes, chemicals, vibrations, humidity, cold, heat, dust, and noise. Reliable transportation needed for frequent driving. Must adhere to Company safety standards and procedures.


QUALIFICATIONS: Must possess strong interpersonal skills with ability to work with people at all levels of an organization; effective oral and written communication skills; knowledge of office administration procedures with an ability to be detail-oriented and highly organized; high level of skill in handling sensitive and confidential situations/information with the demonstrated ability to maintain strict confidentiality; good time management skills; strong customer service focus and great team player; working knowledge and experience with HRIS, internet sourcing, and Microsoft Office, including intermediate skills with Excel. Extensive knowledge of ADP Workforce Now and proficient at MS Office (especially Excel). Working experience of payroll tax at the federal, state and local levels. Must be highly organized. Read, write, and speak English fluently. Possess excellent business writing, editing and proofreading skills. Ability to communicate effectively with the public, Executive team and associates. Possess valid driver license with acceptable driving record. Must pass criminal background check.
