Work site: Remote, with capability to be onsite 1 day a week.

 

Summary

This position will also be responsible for processing bi-weekly payroll via UKG Workforce Now for approximately 336 employees and will ensure accurate processing and recording of company’s Payroll and provide timely and accurate financial information. This role requires experience and knowledge of current payroll laws and rules and for the person to be a self-starter, highly accurate and detailed oriented. 

The Payroll/HRIS Specialist is responsible for configuration, optimization and support of the Human Resource Information Systems (HRIS). This role is responsible for overall system performance and maintenance/upgrades, including ensuring information security and data integrity, testing updates, and improving process efficiency and high-level report writing as needed for Accounting, HR, and business owners.  This position serves as a technical point of contact and is the subject matter expert with report writing and analyzing data flows for process improvement opportunities. This position will be instrumental in the department’s ongoing efforts to automate and streamline internal HR processes.

Payroll Responsibilities (50%):

  • Accurate and timely process of bi-weekly payroll for multi-state, multi-company, 336 employees, using UKG Workforce Management software. Review proper reporting of time within payroll system.
  • Manages payroll operations and activities of workers engaged in recording hours of work, processing time records, compiling payroll statistics and maintaining payroll control records.
  • Processing payroll taxes, calculating and remitting payroll taxes to the appropriate authorities, including federal, state, and local tax agencies.
  • Interprets company policies and government regulations affecting payroll procedures and directs preparation of government reports. Reviews payroll to ensure accuracy.
  • Review and approve quarterly payroll returns.
  • Process wage garnishments, benefits, and tax withholdings according to federal and state wage and hour laws.
  • Prepare manual checks as needed.
  • Process termination checks in adherence to state law requirements.
  • Download bi-weekly payroll reports and earnings reports for managers as needed.
  • Field and answer payroll questions from employees and promptly respond to employee questions and problems regarding payroll issues as needed.
  • Assist in the preparation of payroll reports to include Worker's Compensation Reporting, and other state reporting requirements.
  • Respond to all verification of employment and third-party requests.
  • Conducts monthly benefit and payroll audits.
  • Provides payroll-related documentation for accounting and assistance during internal and external audits.
  • Provide and file government reporting requirements such as EEO-1 and VETS 4212.
  • Assists with year-end processes (W2s, merit increases, processing of annual bonuses, ACA reporting, open enrollment).
  • Manage benefit administration process for reporting (e.g. annual 5500 form, RxDC, 401K deferral changes forms and other carrier reporting information).
  • Stays up to date with federal, state and local payroll laws and regulations to ensure organizations payroll practices are compliant.
  • Performs various HR cross-over responsibilities as requested.

HRIS Responsibilities (50%)

  • Serve as the primary point of contact for all HRIS related inquiries and issues.
  • Be the administrator/super user of the UKG HRIS system.
  • Develop and implement data management procedures and best practices.
  • Create team member profiles, process new hires, separations, and status changes in UKG.
  • Own configurations of HRIS UKG include but are not limited to Core HR, Time Management, Performance, Payroll, Talent Management and Talent Acquisition.
  • Set up the health insurance carrier connections with UKG.
  • Perform regular audits to ensure data integrity; identify trends, correct errors, and coach to improve data accuracy. Work with HR team members and internal stakeholders to assist with corrective action as needed.
  • Generate custom reports and HR data analytics to support HR and Business Leaders
  • Collaborate with HR team to generate metrics from ATS (UKG Gateway) for valuable insights into recruitment process.
  • Researches, recommends, and implements modules or solutions to enhance systems.
  • Designs and provides standard and ad hoc reports for use by HR Business Partners and business leaders.
  • Maintains optimal function of the HRIS through continuous development, collaborate with leadership to identify needs and then recommend and implement solutions/best practices.
  • Serves as the subject matter expert on the HRIS systems. Manages the on-going training of the tool and its modules. Trains and coaches end users to ensure data integrity.
  • Develops system-based solutions for the company’s evolving needs.
  • Researches and analyzes processes, procedures, and policies in order to develop and/or implement changes.
  • Update and maintain HRIS.
  • Performs ad hoc, analytical studies on a wide variety of HR trends and programs to make recommendations to HR management.
  • Perform other duties as assigned.

Please note: Within the HR team there is a secondary back-up for payroll processing for vacation coverage.

Experience and Education

  • 5-7 years of recent payroll processing experience for up to 350 employees, compliance, payroll tax, and reporting, working in a multi-state company.
  • Strong understanding of wage and hour laws
  • Experience using UKG Workforce Management preferred, implementation experience preferred.
  • Extensive knowledge of the payroll function, including preparation, balancing, internal control, and multi-state payroll taxes.
  • Solid understanding of HR, benefit, and payroll wage and hour laws, tax laws, functions, and processes.
  • Excellent organizational skills and attention to detail.
  • Strong data analytics and problem-solving skills.
  • Proficient with MS Office applications (e.g. Microsoft Word, Excel, PowerPoint)
  • Payroll subject matter expert to advise all levels of management on best practices,
  • 4+ years of applicable analysis and reporting experience for Human Resources.
  • Strong problem-solving and analytical skills.
  • Proven ability to recommend and implement changes to better serve the organization.
  • Superuser with UKG Workforce Management, with advanced level report writing, system configuration, data mapping, and data import skills.
  • Advanced Excel skills including the use of VLOOKUP and pivot table functionality are needed.
  • Sound decision-making skills and excellent professional judgment.
  • Ability to handle sensitive and confidential information on a daily and ongoing basis.
  • Ability to communicate clearly and concisely both orally and in writing, including technical writing, interpersonal skills, and speaking to groups of employees.
  • Self-directed, with a high level of organizational skills and attention to detail.
  • Able to collaborate and partner with employees and business partners throughout the organization.
  • Ability to work as an effective team member within HR and independently.
  • Able to manage time and meet deadlines under pressure.
  • Ability to prioritize multiple tasks and organize large amounts of information.
  • Ability to maintain accurate records and documentation of standard operating procedures.
  • Experience in a Human Resources department, preferably in a manufacturing.
