Essential Functions/Typical Tasks:
· Thoroughly reviews and analyzes all documentation presented by customers to identify the most appropriate, efficient service solution
· Researches files and automated records as necessary to ensure applications are processed correctly and completely
· Processes DMV Select transactions according to specific training and established policies and procedures in an efficient and timely manner, specifically motor vehicle registrations, issuing license plates, issuing disabled parking placards, issuing driver transcripts, processing change of address forms, and collecting all related payments
· Provides excellent customer service while effectively addressing difficult transactions, resolving and deescalating disputes, and calmly dealing with customers, in accordance with DMV policies and procedures
· Enforces limits and provides options to clients, referring ineligible cases to nearby full-service DMV centers (e.g. Martinsville, Rocky Mount, Galax)
· Enters transactions into the automated system with reasonable speed and accuracy, using established methods to calculate, collect, and reconcile fees and taxes
· Reconciles daily collections and prepares daily deposits, ensuring accountability of all monies according to policies and procedures
· Ensures the security of DMV Select assets, requests and maintains asset inventory, and prepares inventory reports
· Maintains professional and technical knowledge of DMV policies and procedures by attending educational workshops and professional networking; effectively applies this knowledge in a consistent and accurate manner
· Maintains a working relationship with dealerships and ensures accurate completion of dealer title work received both in-person and by mail
· Reports any suspicious, fraudulent, or criminal activity to County Administration and/or law enforcement according to policies and procedures
· Files documents according to the Freedom of Information Act and DMV regulations
· Compiles data for monthly reporting to Board of Supervisors/County Administrator
· Completes monthly reports as required by DMV Richmond Office
· Schedules work hours and oversees the routine work of part-time DMV clerk
· Prepares and monitors the DMV Select budget
· Other duties as directed by the County Administrator and/or Virginia DMV Office
Knowledge, Skills and Abilities:
· Considerable knowledge of principles and processes for providing excellent customer service
· Knowledge of basic arithmetic and office procedures
· Ability to use a personal computer with word processing, spreadsheet, and specialized web-based software applications to effectively complete a variety of tasks with reasonable speed and accuracy
· Ability to develop and maintain cooperative and courteous working relationships with employees, Virginia DMV managers and associates, and the general public
· Ability to use logic and reasoning to understand, analyze, and evaluate situations and exercise good judgement to make appropriate decisions
· Excellent ability to listen and understand directions, information and ideas presented verbally and in writing.
· Ability to handle a variety of customer service issues with tact and diplomacy and in a confidential manner.
· Ability to work under pressure during peak workload periods
