Front Desk Receptionist/Administrative Assistant

Job Type: Part-time (15-20 hours per week)

Beyond Zen is an integrative wellness studio that specializes in Women's Health and fertility through our holistic services which include: Acupuncture, Massage, Pilates, and Yoga. If you are a people person, who enjoys working on a team and is committed to providing the best holistic health care to the best patients around, this might be an opportunity for you. We are currently seeking a Front Desk Receptionist/Administrative Assistant for 2-3 consistent shifts a week with many opportunities to pick up shifts. We take our work seriously and require both punctuality and professionalism. Basic computer skills are a must.

We are laid back and the work environment is very Zen. So this is a very unique opportunity for someone looking for a rewarding and fulfilling job while working in the wellness industry.

Shifts needed are : Tuesday 1-8:30 and Thursday 1-8:30

Minimum Requirements:

  • Experience: Customer Service/Retail 1 years minimum (Required)
  • Experience in the Health & Wellness Industry a plus
  • Cash Handling, 1 years minimum (Required)

About the Role:

Our Front Desk Receptionist/Administrative Assistant is a key role in establishing a relationship with our studio clients and visitors. This person welcomes clients into the studio and sets the tone for their experience. A successful candidate must love client interaction, enjoy recommending services and must deliver consistent strong customer service. A candidate must be energetic with a positive attitude towards assisting the studio to run as efficiently and effectively as possible. Must be able to multi-task and maintain professional composure at all times.

Duties & Responsibilities

Customer Service

  • Welcome all visitors according to our customer service standards; answer telephone promptly and courteously
  • Check clients into classes/workshops/appointments etc. through software system (MindBody Online)
  • Assist clients by educating about our programs and packages and answering their questions (or finding the answers to questions if not known)
  • Be knowledgeable about products, programs and pricing (Acupuncture and massage packages, Yoga class types and memberships, workshops, Retail sales, light filing, booking appointments etc.)
  • Ensure all clients complete all paperwork/forms/waivers as appropriate
  • Schedule appointments according to restrictive guidelines
  • Act as studio point person during operating hours

Studio Operations Upholds studio standards for cleanliness; daily cleaning required

  • Communication with management to support the financial goals and operational needs of the studio
  • Report any issues per our procedures
  • Various retail duties which includes keeping our boutique organized and re-merchandising products to attract client’s attention. Receive and verify merchandise as appropriate
  • Follows and upholds all guidelines
  • Any other tasks required to help facilitate the day to day operations of the studio

Skills SetsHighly energetic, positive and enthusiastic Ability to multi-task and function in a fast-paced environment, often with changing priorities given the number of clients entering and exiting the studio at similar times

  • Passion for the industry (i.e. health/ wellness) and ability to understand and clearly communicate the different products/programs we offer
  • Must be customer focused and deliver a high level of customer service at all times in a professional, courteous, sensitive and friendly manner
  • Ability to stay calm at all times and act respectfully and professionally
  • Dependable, accountable and responsible with excellent attendance and punctuality
  • Proactive problem solver; detail-oriented

  • Comfortable with computers and effective at learning and using the necessary software products (i.e. Mind Body Online, email, Google documents, spreadsheets)

Work Environment: This job primarily operates in the studio but may involve work within the community. The role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets, and printers. Other Requirements

  • Physically able to lift and carry 1-10 lb. equipment
  • Strong verbal skills (proficient in English)
  • Detail Oriented- Capable of carrying out a given task with all details necessary to get the task done well
  • Dedicated- Devoted to a task or purpose with loyalty or integrity and mature attitude.
  • Enthusiastic- Shows intense and eager enjoyment and interest
