We are seeking a detail-oriented and organized individual to join our team as a Part-Time Administrative Assistant. This role primarily involves providing administrative support in calendaring, finance, and various ad-hoc tasks. The ideal candidate will demonstrate strong communication and multitasking skills. This person will work approximately 20 hours per week with one day in the office required.
Requirements
Duties and Responsibilities
Calendaring:
- Manage and update executive calendars, scheduling appointments, meetings, and events.
- Coordinate meeting logistics, including room bookings and conference call setups.
- Ensure timely reminders and follow-up on appointments.
Finance Support:
- Assist in basic accounting tasks such as posting vendor invoices, recording bank transactions, and tracking employee expenses.
- Maintain accurate records of financial transactions and documentation.
- Collaborate with the finance team to ensure compliance with internal policies and procedures.
Administrative Support:
- Handle incoming calls and correspondence, redirecting inquiries as necessary.
Company/Conference Events:
- Assist in the planning and execution of company events, including team-building activities, holiday parties, and celebrations.
- Coordinate event logistics such as venue selection, catering, invitations, and transportation arrangements.
- Collaborate with team members to develop event themes, agendas, and activities.
- Manage RSVPs, track attendance, and ensure smooth event operations on the day of the event.
- Assist with post-event follow-up, including gathering feedback and documenting expenses
Ad-Hoc Tasks:
- Provide support on various projects and initiatives as assigned by the management team.
- Manage office food, drinks, supplies.
- Adapt quickly to changing priorities and assist with any urgent tasks as they arise.
Qualifications
- Proven experience in an administrative role, preferably in a corporate environment.
- Proficiency in calendar management and scheduling software (e.g., Google Calendar, ZOOM, Teams).
- Experience with Google Drive
- Basic understanding of financial principles and experience with financial record-keeping.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both verbal and written.
- High level of discretion and confidentiality when handling sensitive information.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.
