Urgently Hiring: Our downtown Downers Grove Ophthalmic and Optometric Office is seeking a full-time receptionist with a background in healthcare. Candidates should be positive, enthusiastic, self-sufficient and great team players as well.
Reception Job Description: Greet patients, gather important demographic and insurance information on all patients and accurately enter into NextGen. Answer phones and schedule appointments, including triaging medical emergencies. Verify both medical and vision insurance. Aid doctors and technician staff when needed and provide the best customer service possible to ensure that our patients have a positive experience at Downers Grove Eye Center. Be aware of and maintain HIPAA compliancy.
Responsibilities:
- Greet patients as they check in with a smile and friendly manner.
- Answer phones and schedule appointments accurately and efficiently.
- Ask each and every patient if they have any new information regarding address, phone # and insurance. Be sure to scan all new insurance cards and photo IDs as needed for new patients or annually.
- Check patient’s in and out in a timely manner and collect all co-pays, co-insurance, and other money due at the time of service, including payments for contacts and glasses.
- Work on upcoming days on a daily basis (usually 3-4 days out) making sure that we have all insurance pulled.
- Post patient payments that come in the mail. Go to bank with deposits on daily basis.
- Scan letters, labs, incoming records, etc. into our software, Nextgen.
- Call “no show” patients by the end of each work day.
- Process all records requests from patients – collect fee, copy chart and mail/fax records.
- Calling patients who requested appointments via Demand Force or our web site.
- Responsible for keeping reception area neat and clean.
- Responsible for maintenance of equipment or informing the one responsible for maintenance that something is in need of repair.
- Attend required staff and educational meetings as requested.
- Maintain strict confidentiality.DO NOT DISCUSS PATIENT INFORMATION AT THE FRONT DESK OR WITH ANYONE OUTSIDE THE OFFICE.
- Performs related work as required in a timely fashion.
- Work with others within your department and other departments (optical, clinical) with professional respect to provide a friendly and efficient experience for the patients.
- Post and balance your individual batch each day. Closing employees balance the practice and all closing procedures.
