Job Summary: The Office Manager at Vital Reset, a psilocybin service center, will oversee the general administrative function and activities of the office. This role is responsible for day-to-day oversight and supervision of the staff and affiliates. The individual in this position will be tasked with hiring and termination of staff and affiliates. Being psilocybin friendly is an essential function of this position.
Supervisory Responsibilities:
● Oversees the daily workflow of the office.
● Assists with hiring and training of staff and affiliates.
● Conducts performance evaluations that are timely and constructive.
● Handles discipline and termination of employees as needed and in accordance with company policy.
Duties/Responsibilities:
The duties and responsibilities outlined below describe a typical workweek. This list is not exhaustive and may contain additional functions of the position, as required to conduct day-to-day business.
● Responsible for assigning job duties and preparing work schedules for assigned staff.
● Responsible for onboarding and orientation for all recruits and affiliated facilitators.
● Responsible for training and setting organizational expectations with all staff and facilitators.
● Audit of all client paperwork and documentation to ensure accuracy and compliance.
● Primary contact for maintenance, ordering and reporting of inventory and product (psilocybin).
● Responsible for managing all marketing and staff training.
● Assists in calling potential clients and generating leads.
● Primary contact for public outreach and relations.
● Oversees calendar for room rentals.
● Orders and distributes business cards, forms, and other office supplies.
● Performs administrative tasks for executive and key senior staff, which may include maintaining calendars and schedules.
● Responsible for maintaining service center license and tracking renewals for facilitator licenses.
● Maintains or coordinates maintenance of office equipment.
● Provides support when needed to assist staff with assigned administrative duties such as answering phones, distributing e-mail and preparing documents.
● Maintains office files; implements an efficient system for other staff to access files and records.
● Light housekeeping and facility cleaning as necessary in order to maintain cleanliness and safety.
● Performs other related duties as assigned.
Required Skills/Abilities:
● Strong supervisory and leadership skills.
● Ability to type at least 60 words per minute.
● Extensive knowledge of office management procedures.
● Excellent verbal and written communication skills.
● Ability to maintain a positive work environment and adapt to different personality and learning styles.
● Excellent interpersonal and customer service skills.
● Excellent organizational skills and attention to detail.
● Excellent time management skills with a proven ability to meet deadlines.
● Proficient with Microsoft Office Suite or related software.
● Proficient with multiple database and software systems and the ability to troubleshoot issues that arise.
Education and Experience:
● Minimum one (1) year experience in office administration and/or office management in a supervisory position.
● At least three to five years of administrative and clerical (in various office functions) experience required.
● Worker’s Permit required – this will require fingerprinting – Vital Reset will cover the cost. This must be done within the first week of employment.
● Experience in marketing and public relations is a plus.
Physical Requirements:
● Prolonged periods sitting at a desk and working on a computer.
● Must be able to lift up to 15 pounds at times.
● Bending, stooping, leaning, crouching, stretching, reaching will be required for housekeeping and sanitization of client rooms and office space.
Work Environment:
On rare occasions, clients may become agitated and upset while on their journeys. Experience in de-escalation techniques is beneficial. Understanding how to respond and remain calm in emergency situations is critical to the safety of all involved.
