About The Role:
Agility Robotics is seeking a proactive and highly adaptable Office Manager to join its Operations Department and serve as the primary point of contact for new employees and visitors.
As an integral member of the Agility Robotics team, you will actively support the diverse needs of our team across our Oregon facilities in Tangent and Salem. Your primary location can be either Tangent or Salem, Oregon. The position will grow and change as we expand into our new manufacturing facility. You will play a crucial role in creating and maintaining a welcoming, comfortable, and positive environment for our employees to thrive.
About the work:
As site Office Manager, you'll be tasked with several office duties which have a direct impact on our employee and guest experience. This includes:
- Greet and assist employees and visitors, ensuring a positive experience upon arrival
- Manage conference room scheduling, setup, and coordination for meetings and events
- Plan, order, and maintain stock of office supplies, food, and beverages for office and break areas
- Assist new employees with onboarding, including answering questions, setting up desks, and facilitating their first-day experience
- Manage on-site remote or hybrid visitors to Tangent or Salem offices
- Manage document handling processes, including storage, scanning, and shredding as necessary
- Coordinate on-site employee lunches and company/site events to foster a positive workplace culture
- Answer phone calls and promptly respond to voicemails, directing inquiries to the appropriate person or department
- Process and distribute incoming and outgoing mail accurately and efficiently
- Provide administrative support to management and staff as required
- Report any facility or safety concerns promptly to management and take appropriate action as necessary
- Ensure office and kitchen equipment are properly maintained and arrange repairs when needed
- Drive company vehicle between local sites as required (approximately 2-3 times per week)
About You:
- Bachelor's degree in Business Administration or relevant field or equivalent combination of education and 3-5 years of direct experience in office management or a related role
- Highly customer-oriented, possessing a positive and helpful attitude to all employees
- Self-starter with the ability to work independently while also collaborating effectively with others
- Strong level of computer literacy and experience using Google Suite or MS 365
- Exhibit strong positive written and verbal communication skills
- Ability to be flexible and adaptable within a dynamic environment
- Exhibit a high level of personal integrity, judgment, and discretion
- Good critical thinking and problem-solving skills
- Able to lift up to 30 lbs safely
- Has valid driver's license and suitable driving record for operating company vehicles
Preferred:
- Experience with controlling budgets, forecasting expenses, and analyzing data
- Purchasing and managing outside services and contractors
- Event planning experience a plus
