Summary
The Office Manager is responsible for the cohesive atmosphere between the production team and administrative aspect of the site. The Office Manager will work within all aspects of the site, ensuring that the operation runs smoothly and efficiently. They are always expected to model professional behavior.
Essential Duties and Responsibilities
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.
1. Enter new orders into TCM by following a pre-determined process, ensuring the system generates an acknowledgement of order within 24 hours.
2. Ensure invoicing is completed timely and accurately.
3. Enter purchase orders into the system timely.
4. Enter finished goods into the system promptly upon completion.
5. Receive purchased material into system upon receipt.
6. Create accurate inventory tags for placement on raw material and finished product.
7. Prepare and ensure accurate shipping paperwork is completed for deliveries.
8. Manage logistics of all deliveries to include Timber Creek fleet, third party carriers, customer pick-ups, and all other method of shipment.
9. Ensure accuracy of heat treat reporting, including printing of kiln reports and generation of all necessary paperwork.
10. Assist with any and all areas regarding monthly inventory process.
11. Coordinate with Corporate finance team regarding all credit card purchases and provide receipts or other backup.
12. Maintain all service contracts.
13. Provide excellent customer service with external and internal customer base, vendors, and business partners.
14. Provide back-up services to office staff as necessary, including answering phones, ordering supplies, and filing.
15. Responsible for accurate time keeping information entered into Novatime; confirming employees’ schedules, time off, and daily hours of work.
16. Set up and train new employees on the use of Novatime.
17. Provide new hire paperwork, including benefit information, to employees; ensuring all documentation is filled out accurately and timely.
18. Provide all employment and benefit paperwork to corporate HR team.
19. Direct all benefit inquiries to HR team for timely response.
20. Maintain positive relationship with employees in order to be a resource regarding Human Resource matters.
21. Receive and administer PTO requests.
22. Communicate with new employees and HR team regarding pre-employment drug screenings and ensure appropriate pre-employment checks are completed prior to full time employment.
23. Document daily attendance details, performance feedback and employee issues and report as necessary.
24. Coordinate with Corporate HR team regarding staffing agency placements, policy issues, and employment concerns while maintaining the highest level of confidentiality.
25. Maintain cooperative working relationship with leaders and collaborate on problem solving.

Education and/or Experience
A high school diploma or equivalent is required. Prior leadership experience is preferred. Associates degree or equivalent experience is preferred.
Language Skills
Ability to read, analyze, and interpret general business documents in English, and communicate those out effectively. Professional communication is required.
Computer Skills
To perform this job successfully, an individual should be able to work in a computer system generating reports and metrics. Knowledge of basic Microsoft Suite required.
Mathematical Skills
Ability to calculate figures and use basic math skills.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
