Novus Home Mortgage is seeking an energetic and vibrant Office Manager to oversee the day-to-day activities related to administration and general office operations of our Marshfield and Stevens Point office(s). We believe work should be enjoyable, so we're looking for someone who can bring fun and positivity to the workplace while ensuring high levels of organizational effectiveness, communication, and safety.
This is an in-office position and can be based out of either our Marshfield or Stevens Point branch office.
Responsibilities:
- Professionally handle incoming calls and inquiries.
- Efficiently schedule appointments and provide timely reminders.
- Maintain a welcoming and organized front office environment.
- Coordinate calendars to ensure timely attendance at meetings and appointments.
- Facilitate closing processes by scheduling with all involved parties.
- Dispatch initial payment reminders promptly.
- Execute document shredding tasks with confidentiality.
- Assemble closing gifts and folders with attention to detail.
- Ensure prompt return of original documents to clients.
- Arrange luncheons and office meetings for the Branch Manager with agents and referral partners.
- Manage social media platforms (Instagram, Facebook, TikTok, etc.) for effective marketing.
- Collaborate with the team to brainstorm innovative marketing content and strategies, including video shooting and editing.
- Update LED signage in the Marshfield office to maintain a vibrant presence.
- Coordinate sponsorship commitments and ensure all necessary resources are available.
- Stay informed about local events and integrate the team into relevant community activities.
- Conduct open houses for both office locations.
- Send personalized, hand-signed thank-you letters to recently closed clients.
- Craft and distribute annual holiday letters to maintain client relationships.
- Coordinate seasonal postcard mailings to clients.
- Organize and execute yearly charity drives for the offices, researching local needs.
- Manage marketing materials inventory and ensure adequate supplies are maintained.
- Distribute marketing materials to local businesses to enhance visibility and engagement.
Qualifications and Competencies:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Previous experience in administrative or office support roles preferred.
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and basic computer skills.
- Ability to multitask and prioritize tasks effectively.
- Customer service-oriented attitude with a professional demeanor.
- Familiarity with social media platforms and basic marketing principles is preferred.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing priorities and deadlines.
