Office Manager
Reports to: Director of Operations
Status: Part Time [20hrs per week]
FLSA: Non-Exempt
Job Overview:
We are seeking an experienced Office Manager to join our team. As our Office Manager, you will be responsible for supporting the daily operations of the office to help ensure a smooth and efficient workflow. This is a key role that requires strong communication and organizational skills, attention to detail, and the ability to multitask effectively.
Essential Responsibilities:
- Manage the front desk and serve as the first point of contact for all reaching out to the office, greet and assist visitors in an friendly and professional manner, screen and route calls, sort mail and manage the office email account.
- Provide a wide range of administrative support to office staff, which includes but is not limited to filing, generating reports and presentations, setting up meetings, maintaining efficient organization of closets, supplies, and storage areas.
- Set up and maintain organized office files and records.
- Interact with and support members of the congregation.
- Maintain office supplies inventory and place orders when necessary.
- Proofread and print materials for services, newsletters, fundraising campaigns, etc.
- Assist with generating and publishing print communications and social media.
- Ensure the break room is fully stocked and clean.
- Assist the Directors and Ministry Staff with various tasks.
- Communicate professionally with staff, members, clients, visitors, and vendors.
- Additional administrative tasks may be assigned as needed.
Minimum Qualifications:
- Proven experience as an Office Manager or in a similar role [ie: Administrative Assistant].
- Proficient in using Google Suites and Microsoft Office.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Working knowledge of general office equipment.
- Ability to handle sensitive information with confidentiality.
- Ability to multitask and work well under pressure.
- Ability to maintain a professional appearance and a friendly demeanor under all circumstances.
Physical Requirements:
- Ability to work sitting or standing for moderate periods of time.
- Ability to lift up to twenty pounds.
