Job Summary
Trane in Fishers, IN is hiring an Office Manager. This role is the ambassador of the local offices and shall manage the facilities, and act as administrative aid to the associates and leaders. Additionally, this role will support customer event planning, specific marketing campaigns, finance data preparation/consolidation, and bid coordination
Responsibilities:
- Manage daily office operations and administration
- Work with local teams to maintain all building systems, utilities & rent, housecleaning services, office supplies, mail services, vendor management relations and on-site food & beverage
- Manage office purchase order, vendor management and expenses
- Coordinate, plan, and schedule the office calendar of events
- Facilitate customer training (onsite and offsite)
- Lead and manage on-site health and wellness activities as the Health Progress Leader
- Manage data entry, database management and basic analytics as directed
- Prepare district level presentations (General data entry, database management and basic analytics)
- Support in the generation and reporting of site metrics as needed.(Financial, HR and as defined by District)
- Support in I-9 verification for new hires.
- Establish and monitor procedures for record keeping
- Support in the coordination and clean up (i.e. customer events, leadership team meeting events, kitchen cleaning communications, etc.)
- Maintains Master Manuals & orders all literature for customer classes
- Support for marketing research and activities as needed
- Create fliers and other promotional communication regarding classes and seminars
- Maintain customer databases
- Update social media sites
- Understands Salesforce as needed
- Manage or assist with Bid Coordination
- Knowledge of accounting, data and administrative management practices and procedures
- High level of proficiency in MS Office (Outlook, PowerPoint, Excel
- Event planning experience
- Strong level administrative support experience
- Strong written and verbal communication and relationship-building skills
- At least 3 to 5 years of experience.
- An Associate's degree with 5 years of experience in facilities, office administration, management, event planning and marketing
- Bachelor's degree preferred not required.
