Roles & Responsibilities
Production Management
● Ensure jobs are meeting the expected profit margin.
● Reviews the job files and material order forms created for accuracy and completeness.
● Prepares production needs by verifying estimates and reviewing project and specifications.
● Schedules production and orders materials for each job.
● Hire, manage, and schedule crews for all jobs including new roofs, repairs, and warranty items.
● Communicates all job activity to the sales reps and quality control team
● Inform customers of every step in the production process and demonstrates 5-Star customer service.
Customer Service & Marketing Support
● Answers phones and serve as the primary contact for the company.
● Input job leads into CRM and send them to the designated sales team member via the CRM.
● Provides an open line of communication with customers throughout the sales lifecycle.
● Handles escalated customer calls and solve problems
● Support basic marketing needs related to the Red Bird Roofing brand.
Job Close Outs
● Ensure that all documents are in the appropriate file of the CRM and payments are all entered.
● Enter all material rebates for supplier/manufacturers (e.g., Certainteed, Owens Corning, GAF, Home Depot)
● Call customers to ask for reviews
● Register warranties and send out warranty certificates via email
● Monitor customer reviews and call customers when ratings are less than 5 stars
Accounts Receivables
● Send invoices to homeowners
● Communicate with homeowner, insurance companies, sales reps, and other employees to track payments
● Send out a weekly email to all active sales reps with updates on their jobs
● Send mortgage checks to mortgage company for endorsement
● Get funds released from escrow and provide the appropriate paperwork to complete collections of all payments needed.
● Place liens on homeowner’s houses if they fail to pay their invoice after 90 days
● Submit Certificate of Completion/Invoice to insurance companies no later than 7 days after job completion – following up to make sure depreciation is released properly.
● Scan in job related receipts, checks, and docs into Quickbooks
Qualifications
Education & Experience
● Associates degree or greater preferred
● 3-5 years of office management experience
● 1 year of Quickbooks experience
● 1 years experience in the construction or in-home services industry, preferred
Skills & Abilities
● Excellent customer service and interpersonal skills.
● Excellent verbal and written communication skills.
● Excellent organizational skills and attention to detail.
● Ability to prioritize tasks, delegating when appropriate.
● Proficient with Microsoft Office Suite or related software.
Job Type: Full-time
Pay: $55,000.00 - $75,000.00 per year
