- Provides administrative support to the executive team which includes scheduling recurring Outlook meetings, taking meeting minutes, hosting virtual meetings, creating board reports and presentations, creating general correspondence, excel tables & graphs, etc.
- Assists the executive team with coordinating or managing schedules.
- Manage paper and electronic files using contract software, shared drives, MS Teams and other document management software. Manage record retention.
- Provides administrative support to the HR team which may include e-filing, employment verifications, survey creation, data entry, conversion of fillable forms and any other HR project needs.
- System administrator of corporate administrative accounts including Amazon, travel reimbursement system, and credit cards.
- Schedule, organize, and administer both hybrid and in-person meetings for the executive team during or after business hours, including making reservations, managing recurring Outlook invitations, sending reminders, sharing presentations online, and organizing catering.
- Leads or works on a team on special projects including planning and coordinating multi-media presentations, disseminating information, and organizing agency-wide events.
- Manages front desk employees. Provides orientation, training, direction, observation and coaching of assigned staff. Serves as a backup for front desk reception.
- Triages executive calls and reception area.
- Maintains Board member roster, files, portal and email distribution lists.
- Handles all correspondence related to Board members including posting minutes, board reports, articles, and other requested material on the board portal.
- Monitoring office supplies and replenishing as needed.
- Keep administration spaces organized and clean.
- Administers Core Values and Way to Go initiatives for the agency.
- Required to be in-person (in the office) four days out of the week, preferably Monday through Thursday. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours as defined by the executive team. Occasional in-person evening and weekend work will be required as job duties demand.
- High School Diploma or equivalent.
- Two (2) years of executive assistant experience, or 5-7 years relevant administrative assistant experience.
- Proficiency in Microsoft Office including Outlook, Teams, Word, Powerpoint, and Excel.
- Proficiency in MS Teams and Zoom, particularly hosting virtual meetings.
