General Position Summary: Our Office Coordinator/Receptionist plays a critical role in providing a great impression of R&H - whether over the phone talking to a client or an in-person conversation assisting our team members. Essential Duties Include:
Reception/Administrative Duties:
- Answer R&H's main phone line and direct calls to the appropriate person.
- Greet visitors and guests in a warm and friendly manner.
- Manages the Central Oregon e-mail account (centraloregon@rhconst.com).
- Sort and distribute mail/invoices via e-mail or in-person.
- Distribute faxes via e-mail to the appropriate person.
- Coordinate and track office deliveries and mail, including coding and processing related invoices.
- Maintain the Central Oregon calendar. Schedule meetings as needed.
- Perform administrative tasks for staff as needed.
- Process checks, including printing confirmation and distribution.
- Perform research as needed related to vendor inquiries and statements.
- Serve as the Central Oregon liaison for Bend vehicle DMV registrations.
- Reconcile credit cards (2) on a monthly basis.
- Assist preconstruction by following up with subcontractors when bids are due, setting up subs in Trade Tapp, etc.
Office Coordinator Duties:
- Serve as point of contact for office maintenance items, and follow-up with appropriate vendors.
- Manage office supply inventory, order items and put away as needed.
- Order beverages/healthy snacks/meals for office and field events and put away as needed.
- Order paper products for janitorial needs.
- Order supplies for printers and troubleshoot as needed.
- Ensure that the office remains organized.
- Review, code and approve any office related invoices.
- Drive to jobsites, run errands, etc.
- Be liaison between Central Oregon and Portland office (IT, Marketing, HR, Safety) for misc. needs.
- Take care of plants in office.
People & Culture/HR Duties:
- Be the point of contact/liaison for Central Oregon employee reimbursements, including: Safety Bucks, Safety Glasses, Fitness Incentives, Race Reimbursements, etc.
- Assist with employee and community event coordination, including holiday party, event lunches, employee picnic, supper club, employee gift items / boxes, community service events, etc.
- Support Company Store in Bend office.
- Safety support as needed (Construction Safety Week, etc.)
- Attend weekly HR Meetings and be the Bend liaison for staff meeting planning, newsletter review, etc.
Perform additional assignments as requested by the VP of Central Oregon.
Qualifications/Skills:
- Great communication skills - written and oral.
- Attention to detail, analytical approach to problems.
- Personable and professional.
- Ability to perform basic math functions (add, subtract, multiply and divide).
- Collaborative, problem solver, hard working.
- Intermediate user of MS Office Suite, including Word, Excel, Power Point and Outlook.
- Punctuality.
- Valid driver's license and clean driving record required.
Education:
- Some higher education preferred, but not required.

Work Environment:
This position requires a five, eight-hour workdays in our Bend, OR office location. The work week is Monday-Friday. There are trips to construction job sites (work boots are required) and/or errands to pick up supplies.
