Our Office Coordinator conducts day-to-day administrative functions at the church. This position helps assure the smooth operation of the church and is often a key liaison to church members and the broader community.
Essential Duties
- Conduct day-to-day operations of the church office including, but not limited to: efficiently operating office equipment, organizing and maintaining church files and records, and ordering supplies requested and needed.
- Supervising the work of volunteers in the church office, keeping the building calendar, and tracking staff leave and vacation schedules.
- Maintaining a well organized, pleasant and welcoming environment.
- Is a part of the church security on-call schedule.
- Responsive to the needs of building users, including key distribution, alarm code management, receiving rents from outside groups, and supervising room set-up requirements for internal and external groups and scheduling of custodial staff as needed.
- Work with building support staff to ensure building cleanliness.
- Maintaining and publishing daily, weekly and monthly church calendars.
- Assist with church financial operations, to include payroll, accounts receivable, and accounts billable.
Organizational
- Administrative support for clergy, staff, and leadership of church committees.
- Coordinate with clergy for memorial services and weddings.
- Assist with membership needs, including name tag production and updating church directory information.
- Participate in trainings, staff meetings, retreats, etc.
- Work within established budgets.
- Comply with the provisions of the FUMC of Eugene staff handbook.
Communication
- Creates or coordinates the production of church communications such as: lobby announcement screen, calendars, reports, newsletters, and electronic communications, specifically including Sunday bulletins and weekly electronic messaging to congregants.
- Maintains and generates material for the church website.
- In the absence of an assigned volunteer, is responsible for managing the church main phone line. Demonstrates effective communication skills on the telephone, accurately records and delivers messages in a timely manner.

Qualifications include:
- Demonstrated success in a previous office environment.
- Ability to create and maintain an orderly office.
- Effective oral and written communication skills, to include ability to compose clear and concise written documents using proper grammar and spelling and effective telephone and interpersonal skills.
- Effective analytical, organizational, and documentation skills.
- Strong computer skills, with knowledge of specific computer software programs such as Microsoft Office, WordPress, Publisher, Excel and other similar software programs.
- Ability to perform basic mathematics calculations.
- Understanding of budgetary procedures.
- Ability to use various office equipment.

Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The job requires some lifting of heavy objects and the ability to comfortably get up and down stairs.
