This position is unique in its ability for flexibility being a shared part time position with 2 other office staff (One associate and one office manager). With that, communication is essential and adequate note taking is a must to keep everyone up to date. Below are daily requirements of the position:
~ Use of accounting and time scheduling computer software to create job sheets, invoice & estimates; apply customer payments to bills and minor accounting tasks.
~ Sorting and distributing communication in an effective and timely manner.
~ Preform receptionist duties such as answering calls, schedule and plan meetings, appointments and inspections/permits
~ Create and update customer records ensuring accuracy and validity of information
~ Resolve office related malfunctions and respond to requests or issues.
~ Monitor levels of office supplies: order and replenish
~ Take initiative to work on projects or tasks not assigned to you
~ Keeping accurate file records
Skills Required:
~ Computer proficiency (Use of Excel, email and computer document organization)
~ Working knowledge of office equipment (Printers, scanners)
~ Excellent organizational and time management skills
~ Analytical abilities and aptitude in problem solving/resourcefulness
~Stress management in high pressure situations and deadlines
~Excellent written and verbal communication skills with attention to proper grammar, capitalization and punctuation.
Skills Preferred:
~ Knowledge of QuickBooks or accounting software
~ Knowledge of Service Titan software
~ Knowledge of banking/basic accounting
