The Office Administrator will support the Pacific Plant in administrative, human resources and customer service functions.
Essential Job Functions:
- Primary plant payroll contact, provides support with tracking and ensuring the accuracy of paid time off benefits, employee attendance records, union dues, weekly timesheets, etc.
- Oversees and manages hourly employee recruiting and onboarding process, ensuring new employees have a positive experience
- Responsible for various employee reporting processes including headcount, manhours, union reports, seniority list, etc.
- Provides on-site administrative support for various stages of the hourly employee life cycle including benefits open enrollment, terminations, job changes, etc.
- Facilitates staffing of temporary employees as needed
- Fosters a positive plant culture and ensures significant employee relations issues are communicated to the Regional HR Manager
- Promotes positive employee engagement by facilitating on-site events, local community outreach, employee newsletters, etc.
- Storeroom upkeep – receives inventory into the system and collaborates with Maintenance Planner to resolve issues with packing slips
- Product Inventory – collaborates with employees and management to maintain and distribute daily bagged product inventory. Creates and submits daily production and downtime report
- Accounting/Purchasing – Processes and sends check requests and vendor invoices to AP shared services. Assists with month-end reporting, accruals, audits etc. Generates and distributes the open PO report. Maintains accuracy of open POs and enters requisitions
- Processing customer invoices, processing freight invoices, scheduling shipments, etc.
- Records and distributes daily DDS meeting minutes
- Ensures that plant guests/vendors are greeted and directed to the appropriate contact upon arrival
- Facilitates incoming/outgoing mail and shipments via USPS or other carrier
- Oversees the office supply inventory and ensures the stock is kept at appropriate levels and fulfills special requests from the plant management team
- Provides on-site Concur support to the team as needed
Required Education, Experience, and Skills:
- High School Diploma
5+ years of experience in administrative and customer support roles
- Proficiency in MS Office
Ability to maintain strict confidentiality
Manufacturing experience a plus
- HR experience a plus
