Supervision: The Office Administrator is based out of the Routt County office and supervised by the Executive Director.
The Role: The Office Administrator is a team player providing oversight of all administrative tasks ensuring the leadership team and staff have adequate support to work efficiently. This role/position must be proactive and anticipate and support the needs of Leadership Team members.
Key Accountabilities
- Manage the effective and efficient utilization of facilities, including oversight of all facilities maintenance
- Support the Executive Director and HR/Finance Director to ensure that company goals and objectives are accomplished and that operations run efficiently
- Provide IT and administrative support to Program Director and Program Managers
- Oversee Board and Leadership Team meeting schedules and logistics, take and record meeting minutes, and follow-up with meeting decisions and action items
Essential Duties:
Manage the effective and efficientutilization of facilities, including oversight of all facilities maintenance
- Ensure offices and grounds are maintained
- Investigate new office products and make recommendations to the Leadership Team as needed
- Maintain and order office supplies for all locations
- Maintain and order marketing materials
Support the Executive Director and HR/Finance Director to ensure that company goals and objectives are accomplished and that operations run efficiently
- Provide grant support to Executive Director including researching, reviewing, and reporting
- Support HR/finance director with bookkeeping and accounting responsibilities
- Maintains agency filing systems, policies & SOPs
- Creates reports, spreadsheets, etc. as requested
- Support team communications and event planning, both internal and off-site
- Support in the seamless execution of meetings, events, and day to day needs
- Maintain professionalism and strict confidentiality with all materials
Provide IT and administrative support to Program Director and Program Managers
- Support the Program Director and Program Managers in the seamless execution of meetings, events, and day to day needs.
- Work with Program teams to schedule lunch and learns and partner events, order lunch, schedule rooms, manage IT requests
- Work with program managers/directors to register for community events across our tri-county region
- Ensure event boxes in both offices are stocked and supplies ordered
- Work with program managers/director to administer client surveys and track/present results
- Support program with ordering office supplies
- Coordinate travel arrangements as requested
- Answer incoming calls and route emails from info@.
Oversee Board and Leadership Team meeting schedules and logistics, take and record meeting minutes, and follow-up with meeting decisions and action items
- Coordinate logistics for various meetings including outlook scheduling, meeting reminders, note taking, etc
- Coordinate logistics for monthly Board meetings including outlook calendar scheduling, meeting reminders. Support Executive Director in preparing Board packet, note taking, etc
Perform all other duties as assigned and requested
Education
- Bachelor’s degree in public health, social work/human services preferred, or relevant experience.
