Office Administrator duties are divided into the following categories:
1. Administrative
2. Congregational
3. Communication
- The Office Administrator will work a twenty hour work week. Daily hours will be established by the Office Administrator in consultation with the Pastor.
- The Office Administrator will receive an annual salary of $22,000.00.
- The Office Administrator will receive one week (20 hours) of paid vacation per year. Pro-rated the first year.
- In addition to the tasks identified below, the Office Administrator will fulfill any additional tasks identified as necessary by the Pastor.
- The Employer will provide thirty (30) days written notice to the Employee if the Employer wishes to terminate employment or not renew the contract.

- The Office Administrator will be evaluated yearly by Pastor and the Vice-President of the Council, with input from other ministry teams and congregational staff (in a 360 evaluation style).
- Confidentiality must bemaintained at all times. Must keep, protect, and not share any confidential or sensitive information including the privacy of certain church documents, member health, member donations, etc.
Administrative Duties
- Receive phone calls and visitors to the church
- Review mail and direct it to the appropriate person or committee
- Prepare Sunday and special occasion worship bulletins and, as needed, special bulletin inserts
- Maintain church calendar
- Water plants as needed
- Maintain bulletin board in Narthexo Sign-up forms and calendar
- Organize and maintain church files and church policies
- Order and maintain church office supplies and equipmento Research possible purchaseso Present proposals for purchases to the appropriate person / committee
- Individual works with handling/processing ministry team vouchers for reimbursements and orders
Congregational Duties
- Perform general administrative duties for church committees and members as neededo Church Council, Music Staff, Teams, Sunday School
- Manage maintenance issues o Including management of cleaning service o Maintain cleaning and bathroom supplies
- Assist the Pastor with maintaining a congregational record of Council Members, Permanent Roll of Members, Baptisms, Confirmations, Marriages, Burials, Communing and Contributing Members, Church Attendance
- Maintain membership records in Shepherd Staff and print updates of the Membership Directory when requested
- Prepare Church Fellowship Forms and input attendance into Shepherd Staff
- Distribute and keep track of church offering envelopes by name and number
- Assemble reports from Pastor, Council, and Team Chairs in order to prepare and print the Annual Report to the Congregation
- Assist the Pastor and the Treasurer in preparing the year-end “Parochial Report” which is sent to the Synod Office
- Assist Bookkeeper, Treasurer and other staff as needed
- Assist Church Council President as needed
- Distribute and document dispersal of keys and credit card
- Assist in generating and scheduling a weekly list of home visits for the Pastor
Communication Duties
- Prepare, print, and distribute monthly newsletters
- Update the church mailboxes when new directories are printed
- Add as requested and keep up-to-date the calendar on the ORLC Website
- Prepare and send the weekly e-newsletter
- Be certain that information is distributed in all available platforms
- Support ORLC social media outreach and help develop a social media strategy for the congregation
- Experience using MS Office and database software, and ability to adapt to new technology needs
- Experience with social media tools (Instagram, Facebook, Twitter, Remind, YouTube, etc.) Attention to detail (proofreading ability, etc.)
- Strong communication skills and ability to manage a variety of tasks at once, with multiple timelines and constituent groups
- Ability to take initiative and work independently General appreciation for Lutheran theology
- Interpersonal qualities such as empathy, enthusiasm, flexibility, resourcefulness, and poise
