Office and Hotel Operations Administrator

Capitol Broadcasting Company, Inc. ("CBC") is currently seeking a highly motivated hands-on Office and Hotel Operations Administrator as part of the Rocky Mount Mills Property Management Team. Rocky Mount Mills is a historic re-development by Capitol Broadcasting Company that is also home to River & Twine, a tiny home hotel.
Key Responsibilities:

• Process all invoices and review for appropriate documentation and approval prior to payment
• Manage all AP accounts and billing discrepancies
• Track and maintain W-9 forms and Insurance requirements (COI) for all AP accounts
• Reconcile vendor statements
• Reconcile credit card purchases with statements and match receipts
• Prepare and maintain various reports related to tenant sales (excise tax reports, monthly restaurant sales)
• Set-up and create new project files
• Management office reception to include in-person inquiries as well as email/phone
• River & Twine customer service to include reservations, "front desk" responses
• Shared after-hours phone responsibilities on a rotating schedule
• Manage part-time housekeeping/janitorial staff
• Monitor and order office supplies
• Maintain confidentiality of organizational information
• Provide administrative support to colleagues
• Other administrative duties as needed

Qualifications and Skills:

• Experience in accounts payable preferred
• Knowledge of general accounting procedures
• Understanding and experience with hotel management software
• Experience in the Real Estate/Property Management Industry
• Excellent attention to detail and high level of accuracy
• Proficient in MS Office (Outlook, Excel, and Word) and other programs as required
• Is or can be certified as a Notary Public (must obtain within first 6 months of hiring)
• Strong organizational ability
• Effective communications skills
• Ability to multi-task and prioritize projects
• Ability to meet deadlines
• Customer-service oriented
• Professional and positive working attitude
• A high school diploma or equivalent, three to five years of related experience required

Job Type: Full-time Exempt, reports to Assistant Property Manager of Rocky Mount Mills
