ResponsibilitiesThis position serves the College of Communication & Information (CCI) Deans Office by generating fiscal reports for upper-level management and reconciling CCI monthly general ledger reports. Acts as the Dean's Office travel and purchasing representative. Assists with planning and setup of college events.
- Produces accurate and timely financial reports for the College along with analysis and identification of potential issues, solutions, and recommendations to management for decision-making. Monitors and reconciles weekly balance spreadsheets for approximately 50 budgets along with monthly reports on the major E&G, Carry Forward, Auxiliary, SRAD, Tech Fee, and UROP awards budgets, ensuring accuracy and compliance. Reconciles CCI budgets monthly and will review for declining balances, unexpected expenses and encumbrances, and other anomalies to report to the Associate Director of Admin Services.
- Procures and receives items and services for the Dean's Office. Ensures compliance with policies, including obtaining product information, obtaining proper authorization, and entering complete/accurate information in the purchasing system. Assists in maintaining internally sound controls by daily monitoring and reviewing purchasing activities using queries & reports for the Dean's office and the schools.
- Serves as the Travel representative for the Dean's Office. Enters and reviews travel authorizations and expense reports to ensure compliance with policies and procedures. Assists in ensuring sound internal controls and compliance with University policies and procedures by daily monitoring of travel activities using queries & reports.
- Assists with College events (Career Fairs, Women in Leadership, Club Day, BBQ, Leadership Board events, etc.). Maintains a financial tracker of costs for these events. Manages facility and other special projects related to the administration of the College as assigned. Assists in making recommendations on office operational needs, including equipment, workflow, staffing, and materials. Trains new and current employees on travel and purchasing and serves as a backup to the Associate Director of Admin Services. Assists and enters scholarships for the Dean's office and is a backup for the schools.
- Performs the annual physical inventory of capital assets within the College and ensures well-maintained internal asset management databases for non-capital items at multiple locations. Verifies the decommissioning of computers prior to disposal and the resolution of lost/stolen property. Serves as the primary card and key access manager for the College, including the control and distribution of building/room access, card swipes, and keys. Reconciles phone invoices.
A high school diploma or equivalent and four years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)
Preferred Qualifications- Ability to communicate effectively with different groups and/or individuals verbally or in writing.
- Efficient with using Microsoft Word and Microsoft Excel to complete assigned tasks.
- Demonstrates excellent customer service skills, teamwork, and organizational skills.
