Overview
We are seeking a POSITVIE, highly organized and detail-oriented Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring the smooth operations of our office and supporting the daily administrative tasks. This is a dynamic position that requires excellent organizational skills, strong communication abilities, and the ability to multitask effectively.
Duties Include but are not limited too
- Effective communication skills to communicate with customer inquiries and resolve customer issues, complaints, or concerns.
- Manage customer data entry- end to end in a CRM.
- Assist with dispatching/scheduling field personnel for seasonal preventive maintenance contracts, service repairs, replacements and installations.
- Outbound calling to customers supporting unsold estimates, parts and warranty status
- Support warranty parts submission process.
- Assist in accounts receivable activities.
- Generate weekly status reports to track work orders, open estimates, customer inquiries/issues, customer satisfaction, etc.
- Perform similar/other duties as needed or assigned
- Work with the Service Manager and staff to ensure all aspects of operations are running smoothly.
- Must have a minimum of 1 year experience as a dispatcher
- Must have reliable transportation
- Must have a friendly and outgoing personality
- Must be dependable, reliable, and able to multitask at a fast pace
- Must be able to accept direction and constructive criticism and work in a sometimes stressful environment
- Must be able to adapt to ever-changing growth that is company goal oriented
Qualifications Should Include
- Proven experience in an administrative role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Gmail)
- Ability to work independently and as part of a team
- Detail-oriented with a high level of accuracy
- Strong problem-solving skills and self initiative
- Ability to handle confidential information with discretion
