Job Description:
We are seeking a proactive and detail-oriented Office Administrator II to join our team. The Office Administrator II will play a crucial role in ensuring the smooth operation of our office by handling a variety of tasks including administrative, clerical, and logistical duties. The ideal candidate will be highly organized, possess excellent communication skills, and have the ability to prioritize tasks effectively.
Responsibilities:
- Answer phones and direct calls appropriately.
- Assign incoming requests from the Info folder and CRM tab to the appropriate salesperson.
- Manage freight invoices.
- Process Customer and Web orders efficiently.
- Handle shipping procedures for outside sales team orders.
- Supply orders, meeting and event arrangements.
- Customer Service; EDI, shipping notifications, tracking inquiries.
- Handle Tax Exemption requests.
- Send out Trade Reference Requests for credit-seeking customers.
- Create Receiving Shipment Procedure packets and manage printer supplies.
- Conduct collections for past due accounts and manage AR inbox correspondence.
- Handle ad-hoc tasks as needed.
Qualifications:
- High school diploma or equivalent; associate degree or relevant certification preferred.
- Proven experience in office administration or related role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
Job Type: Full-time
Pay: $20.75 - $21.75 per hour
