Retirement Planning firm in Hudson, OH is seeking a full-time Office Administrator. Candidate must exhibit exceptional time management skills, attention to detail, accept direction, be customer service oriented, and skilled with technology. Position Overview:
The primary responsibility of this position is to provide support to the Chief Advisor by organizing and ensuring smooth operations within the office. Always putting the client first, this position will be heavily dependent upon a positive attitude, solid work ethic, and desire to go above and beyond.
Key Responsibilities:
Greeting Clients
- Prepare conference room and welcome screen
- Bake cookies & serve beverages
- Clean up conference room after each appointment
Advisor Calendar Management/Client Programs
- Set and reschedule appointments as well as appointment reminders/confirmations
- Prepare Post Appointment Form
- Enter and maintain regular integral team meetings calendar
- Maintain linked Calendly account
- Maintain and upkeep visitor facing-areas
- Keep CRM updated with appointments and client interaction
- Answer, screen, and forward incoming phone calls while providing basic information when needed
- Manage client touch, gift, and card programs (client gifts and cards)
- Receive and sort daily mail/deliveries
Marketing Event Tasks
- Making reservation reminders/confirmation calls
- Maintaining Marketing On Demand, ENewsletter an Newsletter lists
- Prepare and mail prospect Drip marketing materials
- Serve as greeter and appointment scheduler at dinner events
General Administrative Tasks
- Opening and closing office per protocol
- Copying, scanning, naming and filing various financial statements and other documents provided by clients/prospects
- Maintain phone answering system and company recordings/messages
- Maintain office supplies, stationary, inventory, and beverage room supplies
- Proofreading client letters, newsletters, articles, and marketing materials
- Run errands as necessary
- Coordinate or support internal staff/events
- Logging any related credit card expenses
- Liaise with vendors as necessary
- Weekly team meeting organization and preparation
