Job Description
PRIMARY FUNCTION:
The Office Administrator is responsible for providing administrative and clerical support to senior leadership and administration staff in the day-to-day operations of the organization.
MAJOR DUTIES AND RESPONSIBILITIES:
- Greets and assists visitors, staff, and vendors in a professional and courteous manner.
- File, copy, and scan documents, and maintain records and databases.
- Manages the calendars and appointments of senior executives and ensure they are well-informed of their upcoming commitments.
- Oversees incoming and outgoing phone calls, email correspondence, and mail distribution.
- Coordinates and prepares for meetings, conferences, and events, including booking venues, sending invitations, and arranging catering.
- Orders and maintains office supplies, equipment, and inventory, and ensure proper functioning of office equipment.
- Provides general assistance and support to senior executives, staff, and visitors.
- Presents birthday and anniversary awards/gifts on a monthly basis.
- Performs other duties as assigned.

- High level of professionalism.
- Excellent verbal and written communication skills, and ability to communicate effectively with senior executives, staff, clients, and vendors.
- Strong organizational, time management, and problem-solving skills, and ability to multitask and prioritize work.
- Attention to detail, accuracy, and quality, and ability to work under pressure and meet deadlines.
- Team player, flexible, and adaptable, and willing to take on additional responsibilities as needed.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other office software and tools.
- High school diploma or equivalent, some college a plus.
