Position Overview
The Office Administrator plays a key role in keeping our operation running smoothly and providing customers and vendors with a positive experience by ensuring that incoming visitors and phone calls are greeted warmly and routed properly, incoming mail is sorted and distributed, and our various teams have the support they need to maintain focus in their primary areas.
Duties & Responsibilities:
- Welcomes visitors, answers and routes incoming phone calls.
- Assists sales with tasks such as updating sales orders.
- Coordinates customer communication regarding repair and return materials by sending repair reports, quotes and invoices, and receiving repair authorizations.
- Supports purchasing with tasks such as monitoring purchase order acknowledgements and updating due dates in the ERP system.
- Sorts and distributes incoming mail.
- Helps to maintain accurate customer and vendor contact information.
- Assists with providing data and reports to various departments.
- Plans and executes company events including customer visits, holiday events, all employee meetings, and sales seminars.
- Other duties as they may arise.
Minimum Experience:
- 3+ years working with Microsoft Office (Outlook, Word, Excel, Access, PowerPoint).
- Demonstrated ability to exercise independent judgement and discretion.
- Superior communication and problem-solving skills.
Other Skills/Knowledge/Experience:
- Experience with ERP/ MES software (Aptean/Intuitive) is a plus.
- Team oriented with a positive, can-do attitude.
