We are seeking a highly organized and detail-oriented individual to join our team as a Property Administrator / Office Manager. This position is crucial to the success of the property management team and ensures smooth day-to-day operations of our office. A successful candidate will show excellent multitasking abilities and strong communication skills.
Role and Responsibilities
- Provides the administrative functions of the Property Management team, including phone support, typing reports, scheduling, filing and distribution of correspondence.
- Provides support to principals and assists in strategic initiatives.
- Assist in lease administration activities, including tenant contacts and insurance information, generating reports.
- Establishes, updates, and maintains property files and appropriate records of company, including property ownership files, deeds, leases, easements, service contracts, building plans, and related documents. Implements and maintains data management systems, as required.
- Prepare and code invoices for manager approvals.
- Monitor and maintain property maintenance work order system and prepare monthly reports for Property Manager on status of tenant works orders.
- Assist with monthly and quarterly financial reports as well as annual budget preparation.
- Process management and maintenance staff hours, tenant bill back invoices, expense reports, monthly meter readings of properties, and check requests for review and approval.
- Ensure the office is stocked with supplies and other required items to maintain the office.
- Works with principals to provide support and assist in strategic initiatives.
- Assists brokers with marketing material and property listings.
- Performs other duties and responsibilities as assigned.
Qualifications and Education Requirements
- Previous experience working in an office or administrative role.
- Operate various office equipment such as copy machines, multi-line phones, postage meter, fax machines, etc.
- Demonstrated computer proficiency and experience in various programs including Microsoft Outlook, Excel, Publisher, and Word.
- Bachelors degree (preferred)

Job Type: Full-time
Pay: $21.00 - $29.00 per hour
Expected hours: 30 – 40 per week
