Hourly Wage:

$21.00 per hour

Duties/Responsibilities:

  • Answer administration office telephone and direct calls to the appropriate person. Optimize, manage and record, as needed, Phone Tree Messages.
  • Maintain and update Employee Directory, Extension List, Email Groups and Location Contact Sheet.
  • Schedule Executive Level meetings, interviews, outings and other calendar related items via Outlook.
  • Coordinate and schedule multiple leadership team attendee meetings
  • Attend meetings, record and draft minutes, and distribute for review. Maintain a database of meeting minutes.
  • Responsible for preparing and mailing Board Reports, correspondences, and notification of Board and Committee meetings.
  • Maintain executives’ schedules and travel arrangements. Will also arrange travel accommodations for employees traveling on company business and candidates.
  • Provides administrative and project support to the Chief Executive Officer, Chief Financial Officer and other senior leaders as assigned.
  • Enter all Contracted Provider Agreements in Multiple places for all entities w/i organization.
  • Day to day liaison as needed for coordination of Velocity Networks, Doyle Security, HGT, Housekeeping, Copier, Badge Printers, etc. as well as coordinating access for Adobe Pro, Zoom, and DocuSign accounts. Liaison with IT Vendor to ensure meeting room technology is functioning as needed.
  • Manage SharePoint access and provide troubleshooting for staff.
  • Ensure meeting rooms are maintained and fully operational technically.
  • Print Participant & new employee badges, maintain supplies and troubleshoot badge printer challenges. Receive mail, admin office fax, mailbox monitoring, etc.
  • Procure and stock weekly corporate office snacks and related items. Order food as needed for meetings.

  • Successful completion of background check, physical, drug screening, TB Screening

Employment Requirements: Successful completion of Pennsylvania Criminal History Check, PA DHS Child Abuse Clearance, Office of Inspector General check, and FBI Fingerprinting for Child Protective Services Law (at employer’s expense). Successful completion of post-offer employment drug screening and physical (at employer’s expense). CPR and First Aid Certification, or willing to obtain at employer’s expense. Individuals must have one year of prior experience caring for the frail elderly or willing to complete Company paid training to meet this requirement.
