Position: Office Administrator
Location: Fenton, MO
Position Overview:
The Office Administrator will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and compliance with company policies. The Office Administrator is responsible for the ongoing review of system invoices, sales orders, purchase orders and inventory controls and ensuring intra-office communication protocols and administrative procedures operate smoothly.
Duties/Responsibilities:
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are maintained, and supply requisitions are reviewed and approved.
- Point person for maintenance issues with property manager, incoming and outgoing mail, shipping, supplies, office and IT equipment.
- Under direction of Branch Manager monitor branch expenses and maintain shared calendars, review time sheets and PTO requests for proper staffing, organize and schedule meetings and appointments, maintain contract renewal database, make bank deposits,
- Provide general support to visitors, handle incoming phone calls to the branch and provide support to outside sales representative
- Actively participate in the planning and execution of company events, possibly in conjunction with Marketing.
- Work with Fleet Department to ensure vehicle registrations and insurance cards are in place.
- Competent use of the company's ERP system (Acumatica) to assist with transactional entries as needed. Run reports daily, review sales team's transactions and follow up with sales team as needed.
- Coordinate with AR/Purchasing in managing relationships with service providers ensuring the best price and service is received.
- Work with AR to coordinate proper filing.
- Coordinate and support AR with suppling Lien Waivers, Statements, Credit Apps, Credit References, Invoices and Payments on accounts when needed.
Job Requirements/Qualifications:
- Requires energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and management support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting our branch teams in St. Louis, Kansas City, Omaha and Des Moines.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in MS Office.
- Knowledge of accounting, data and administrative management practices and procedures
- Computer skills and knowledge of office software packages
Education and Experience:
High school education or equivalent, some college preferred.
At least 5 years administrative support experience, preferably in the construction industry.
Physical Requirements:
- Must be able to work in a stationary position in an office environment using general office equipment and technology devices.
