Hours and Pay Range: Monday through Friday from 9:00 AM to 1:00 PM. (On-site.) Flexibility to

work additional hours when required.

$20-$30 an hour, depending upon relevant experience and qualifications.

Position Purpose: The Office Administrator helps the church function optimally by providing administrative support to the pastor and by directing the work of the church office. Believing wholeheartedly in the mission of our church, the Office Administrator must enable the smooth operation of church programs and facilitate communication among church members, as well as with people and organizations with which it is connected.

Key Duties:

1. Administrative support to pastor and church leadership.

  • Maintains regular office hours as determined by the Board of Trustees.
  • Communicate professionally with callers and visitors to the office and via email.
  • Manage and organize daily operations, office supplies, files, and records including church registry, membership list, committee lists and vendor lists and prioritize daily and weekly tasks.
  • Handle telephone and electronic communications & written correspondence in a professional manner.
  • Prepare all church publications and electronic communications including, but not limited to, weekly program, weekly worship slides, weekly eNews, monthly newsletter, annual directory, and special event flyers.
  • Update the church’s website and Facebook page as needed.
  • Maintains the church calendar, coordinates facility scheduling and maintenance.
  • Keeps office equipment in good order, including updating computer software, shared files, etc.
  • Processes audiovisual data (Zoom recordings, photos, etc.) for use by the pastor and other staff, as well as for use in the church’s print and electronic outreach.
  • Manages flow of information among trustee chair, custodian and office.
  • Serves as a link, via various media, with members, friends of the church, ecumenical partners, and others.
  • Other tasks assigned or requested by the pastor, boards and committees.

Skills and Qualities Needed:

Required.

  • Office administrative experience.
  • Trustworthiness and the ability to handle highly sensitive, confidential information properly.
  • Effective customer service, people interaction skills, consistently maintaining a positive, pleasant, helpful and welcoming attitude.
  • Effective organizational skills, prioritization abilities, and attention to detail.
  • Effective time-management, efficiency skills, and meeting stated deadlines.
  • Demonstrated ability to multi-task, shift among competing priorities, driven by strong self-initiative.
  • High level of oral and written English communication skills to enable clear understanding while providing sufficient sensitivity to receivers’ feelings, emotions, and concerns.
  • Proficiency with Gmail, MailChimp and with Microsoft Office, particularly Word and Excel.
  • Strong organizational skills, including physical and digital resources.
  • Familiarity with use of social media, experience in website updating, revision and distribution of electronic newsletters.
  • Desire and ability to grow and learn.

Job Type: Part-time

Pay: $20.00 - $30.00 per hour

Expected hours: 20 per week

Schedule:

  • 4 hour shift
  • Monday to Friday
