Position Summary:
As an Office Administrator at College of Western Idaho (CWI), you will support the executive leaders in Human Resources and Marketing, anticipating their needs and helping them stay focused by resolving operational and administrative issues before they arise. You will move quickly with the changing environment and will be up to date with the latest going-ons in each department. You will also use that knowledge to support projects strategically. In addition to being organized and analytical, you show ownership, are extremely proactive, possess strong communication skills, and are comfortable working behind the scenes.
Essential Functions:
- Provide advanced level administrative support to the executive leaders in Human Resources and Marketing.
- Provide administrative support for high-level committees, including those that involve external parties. This support includes: preparing meeting agendas, composing minutes, editing and distribution of agenda and minutes to a wide audience. Establishes, maintains, and updates, files, databases, records, and other documents exercising vigilance in securing confidential information.
- Write clear, concise, and comprehensive policy documents, ensuring accuracy, consistency, and compliance with relevant standards and guidelines.
- Efficiently manage and coordinate schedules for two executives, ensuring optimal use of time and prioritizing meetings, appointments, and events.
- Coordinate and execute a range of events, from small team meetings to larger campus-wide gatherings, while proactively and strategically managing calendars and priorities. Preparing meeting agendas, including the creation of slide decks, room reservation, and refreshment ordering.
- Coordinate and oversee the handling of departmental expenses for executives and their teams, requiring collaboration with both internal and external stakeholders as necessary.
- Partner consistently and efficiently with other members of the EA team and cross-functional partners across the org
- Schedule internal and external meetings with a variety of cross-functional partners
- Perform a variety of administrative tasks (manage calendars, book travel, etc.)
- Ensure executives balance team interaction, strategy, meetings, and personal time.
- Map out and circulate meeting agendas, facilitate meetings, and manage post-meeting follow-ups.
- Manage small projects as needed.
Minimum Qualifications:
- Experience supporting multiple C-Level executives in customer/facing roles (i.e. COOs, CMOs, CEOs).
- Experience liaising with high-caliber external stakeholders and partners.
- Experience ensuring excellent AV experiences (managing Zooms, recordings, in-person logistics).
- Experience organizing events like QBRs, Executive dinners, etc.
- Maintain a high level of confidentiality, professionalism, discretion, and judgment at all times.
- Manage a high volume of external and internal facing requests with organization and a sense of urgency.
- Ability work autonomously and exercise strong decision-making skills when necessary.
- Proactively build professional relationships with internal and external stakeholders.
- Strong communication skills and always keep stakeholders in the loop.
- Highly organized, detail-oriented, and professional.
- Responsive to internal and external requests and work efficiently.
