Reports to: Office Manager
We are looking for a competent Office Admin Assistant that will play a key role in keeping daily office operations running smoothly by directly assisting the Office Manager and general staff, in various administrative, accounting, customer service and facility maintenance as needed.to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

Responsibilities
CUSTOMER SERVICE DUTIES:
- Answer incoming calls in a profession and friendly manner
- Greet customers at front desk, and assist with sales
- Expedite cash and credit card transactions
- Take accurate descriptions of potential projects (job referrals)
- Take accurate messages for the President / Owner
- Monitor email accounts and forward to appropriated parties
ACCOUNTING DUTIES:
- Accurately file invoices and paid checks
- Manage sales tax log
- Mail billings and checks
- Update vendor and customer addresses and contact information
- Year-end file maintenance and archiving
- Manage packing slips and bills of lading
- Manage out of office calendar
GENERAL OFFICE ADMINISTRATION / MAINTENANCE:
- Keep office organized and tidy at all times
- Receive and distribute daily mail and packages
- Take inventory of office and paper goods supplies and order as needed
- Refill paper in printers as needed
- Other tasks as assigned by Office Manager and President
Requirements
- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
- Familiarity with general office procedures
- Working knowledge of basic accounting functions
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in MS Office and Excel
- Maintain a professional appearance and attitude at all times
This position will work a total of 20-25 hours per week.
Pay is commensurate with experience.
