Job description

Human Resources/Office Admin Assistant

Hallsten Corporation has an immediate opening for an energetic, highly organized and experienced, full-time Human Resources/Office Admin Assistant to help with the full spectrum of duties related to the HR department.

Duties will include, but are not limited to the following:

o Monitor employee eligibility and review benefit packets with employees.

o Prepare and process employee health, vision, dental, and life new hire enrollments, and all updates, waivers, and terminations, and enter via on-line carrier portals.

o Assist with the Open Enrollment process, including coordination of meetings with benefit advisors and staff. Complete surveys for renewal. Complete enrollment forms and waivers, and enter employee enrollment information via on-carrier portal.

o Reconcile monthly premium statements for health, vision, dental, and life enrollments, and add, update, and terminate employee information as needed.

o Schedule and follow up with all pre-employment drug screenings.

o Conduct new hire orientations; including review of employee handbook, Injury & Illness Prevention Program, and completion of all new hire employment forms.

o Complete forms, collect supporting documentation, and verify through on-line submission employee I-9’s (E-Verify), Social Security information (BSO Verification), and EDD Reporting (DE34).

o Prepare and process Unemployment claims, Worker’s Compensation claims, Wage and Lien garnishments, and respond to various state and federal agency employee audits and surveys.

o Prepare and process CalOSHA and HazMat annual reporting logs.

o Maintain all driver and vehicle logs and binders. Monitor and process payments for all vehicle registrations.

o Coordinate with Shop Manager all safety meeting topics, material, and sign in sheets, and maintain documentation in personnel files and safety meeting binders.

o Setup, maintain, and file all employment and personnel forms in personnel files.

o Assist in ordering and maintaining office supplies.

o Answer phones, direct callers and take messages.

o Provide back-up front desk coverage as needed.

o Perform other job-related duties as assigned.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Expected hours: 40 per week
