Position summary: This position is responsible for answering/returning all new patient calls, as well as managing and ensuring a full schedule for the Office Physicians, Physician Assistants & Nurse Practitioners. This position will cross cover the front desk, which includes answering phones, maintaining medical records, checking in patients, checking out patients and collection of services. This position will cross cover in our supplement department, which includes taking and filling supplement orders, ordering and restocking inventory.
Key Responsibilities:
Scheduling
- Answering and/or returning new patient calls within 24 hours.
- Ensuring a scheduling/close rate of new patient calls (determined by Practice Manager).
- Respond to all website and email requests pertaining to new patient visits within 24 hours and direct any unrelated requests to the appropriate staff member.
- Use Wait List to allow assistance from other staff members if needed.
- Communicate what scheduling support is needed to other staff members.
- Monitor/Keep Daily Patient Log to ensure standards are met.
- Maintain/Monitor existing templates and maintain daily schedules for resources.
- Other duties as assigned.
Front Desk
- Respond to patients (calls, emails, app, patient portal) in a timely manner.
- Check patients in and out, either in person or via phone.
- Schedule all next steps specified by the provider.
- Ensure all charges have been entered and collected.
- Other duties as assigned.
Supplements
- Fulfilling patient supplement orders and shipping within 24 business hours of request (portal, app, phone call, email, and text orders). Communicating updates, fulfillment, and changes with patients in a timely manner.
- Unpacking supplements, stocking shelves and removal of all packing boxes and supplies daily.
- Reordering of supplements as needed.
- Weekly inventory reporting.
- Other duties as assigned.

Credentials, Education and Experience:
At least 1-3 years minimum medical administrative experience.
- Experience communicating with patients face to face, in writing, electronically and by phone to schedule appointments, follow up with patients, interact with vendors and third-party service providers.
- Experience using electronic medical record EMR software, Google Suites, Google platform and email software.
- Experience managing inventory is a plus.
- Knowledge of Integrated/Functional Medicine is a plus.
Work Environment:
- This position works within a clinic/professional office environment. Professionalism and discretion are required.
- Position will be required to answer a telephone, communicate with patients and other stakeholders, use a computer and various software applications.
- Contribute to fostering a positive, collaborative, team-oriented environment geared toward patient satisfaction and organizational growth.
- Position may be regularly required to tidy office areas, go up and down stairs, break down boxes, remove trash to dumpster and lift up to 50 pounds.
- Position may require trips to post office, FedEx or UPS to mail out products.

Compensation and Benefits:
- This position is compensated on an hourly basis.
- Health care after 90 days (for full time employees), 50% paid by KanodiaMD.
