```Duties```
A to Z Dermatology is growing and currently seeking an enthusiastic, friendly and skilled Medical Schedulers to join our team. This position is responsible for greeting patients on the phone or through electronic correspondence to meet their needs regarding scheduling, updating patient information, and acting as a liaison in reporting any patient suggestions to management. As a Medical Scheduler, you will play a crucial role in ensuring the smooth operation of our medical office by coordinating patient appointments and managing the phone system. Your attention to detail and strong organizational skills will contribute to providing excellent patient care.
Provide excellent customer service to patients and family members:
· Communicate in a manner consistent with positive patient relations.
· Demonstrate a welcome environment by smiling when greeting all patients.
· Provide helpful assistance in anticipating and responding to the needs of all patients.
· Collaborate with customers in planning and decision making to result in optimal solutions.
· Remain calm under pressure and effectively deal with difficult people.
· Independently recognize, interpret, and evaluate situations and their level of urgency.
Meet patient needs through a variety of methods including but not limited to:
· Answer incoming phone calls and make outbound phone calls, gathering information to route appropriately.
· Collecting information for creating new patient appointments.
· Manage appointments.
· Schedule appointments via phone, in person or via electronic correspondence.
· Schedule follow up appointments.
· Coordinate appointments for patients in other clinics.
· Cancel and reschedule appointments.
· Manage electronic worklists.
· Manage templates for day to day edits and reschedules.
· Promote and assist patients in portal use.
- Coordinate with medical staff to ensure availability for appointments
- Maintain confidentiality and adhere to HIPAA regulations at all times
- Assist with administrative tasks such as filing, faxing, and scanning documents
Skills:
- Previous experience in medical scheduling or a similar administrative role
- Proficiency in front desk operations and customer service
- Knowledge of HIPAA regulations and ability to maintain patient confidentiality
- Familiarity with office equipment and basic computer skills
- Experience working with electronic medical records systems (EMA, Modernizing Medicine)
- Strong attention to detail and excellent organizational skills
