Job description

The San Francisco Preventive Medical Group (SFPMG), a pioneering integrative medical clinic located in the trendy SF neighborhood of West Portal, is seeking a dynamic Medical Office Administrator to join our Front Desk operations team. As our clinic continues to grow and expand to serve more patients and offer new avenues for deep holistic healing and expanding into innovative treatments for mental health and wellness, we are looking for a compassionate, resourceful multitasking expert equipped with the skillset to thrive in a fast-paced, collaborative team culture. The ideal candidate should have prior experience in a medical office / healthcare setting in a patient-facing role, excellent oral and written communication, administrative abilities, and outstanding client service and interpersonal skills. This individual must be dependable, energetic, personable, hard-working, resourceful, and driven to elevate the standard of compassionate integrative medicine that empowers our patients to reclaim their agency over restoring and sustaining their holistic sense of mind-body wellbeing. Our clinic strives to deliver exceptional patient care and we are looking for a coordinator who can provide an elite level of service to our patients and staff.

As the clinic expands to offer innovative, guided IV ketamine treatments to complement its wide array of integrative therapeutic offerings for mind-body healing, we seek a candidate with a passion for supporting mental wellness, whether through past professional or personal experience, and an enthusiasm for helping to steward and support the success of the ketamine program at the clinic and our patients’ experiences as they journey through it.

Key Responsibilities:

  • Welcome patients in a warm, calm and professional manner.
  • Manage day-to-day front office operations with a positive attitude, including but not limited to check in/check out process, collecting payments, etc.
  • Review and coordinate patient’s treatment plans
  • Maintain timely, clear patient communication via multiple avenues (in-person, phone, email, EMR system)
  • Efficiently schedule/manage appointments
  • Support the development and execution of standard operating procedures for the IV Ketamine program
  • Serve as the main point of contact and trusted “patient ambassador” for the IV Ketamine program, stewarding them along the journey from new patient inquiries to program enrollment / intake / launch, supporting their journey and tracking their progress and following up upon program completion
  • Ensure the front desk and waiting room areas are neat, organized and well-stocked
  • Perform other tasks to support the other members of the administrative and clinical team (Physicians and IV Nurses).[KV1]

Other Key Qualifications and Considerations:

  • Education: Minimum of a High School Diploma (or equivalent), though an Associates or Bachelor’s Degree (BS/BA) is preferred. At least 2 years of medical office experience required.
  • Administrative / Operations Experience:
  • Proficiency with Mac OS X, Microsoft Office Suite, Google Workspace
  • Ability to use clinic’s electronic medical record (EMR) system (Elation Health), phone system (RingCentral) and support patients in using it
  • Experience with QuickBooks / Billing software a plus
  • Exposure to / interest in integrative medicine is ideal
  • Interest in contributing to the growth and continued leadership of a pioneering clinic of integrative medicine
  • This is not an entry-level position, but for the right candidate with the right attributes and qualifications, we will be willing to train to succeed in the role. There is great potential for growth within the clinic, and the ideal candidate would be willing and able to grow and evolve with the company.
  • This role is an onsite position at the clinic (currently in the West Portal neighborhood of San Francisco), preferably 5 days/week, 5 hours per day.[KV2]
  • Compensation is competitive, in the range of $22-$26/hour[KV3] , or commensurate with experience.
