Description:
The Office Manager works closely with the physicians and staff to ensure the practice delivers excellent patient services by balancing operations, human resources, and financial management while staying apprised of the best practices within the field. The Office Manager will create policies and procedures to encourage and optimize the performance and growth of the practice.
Responsibilities:
Directs day to day operations of the practice including ongoing review and evaluations of work activities, delegation of duties, and implementation of policies and procedures.
Creates staff schedules and approves time off
Encourages and motivates staff for optimal performance
Supervision of patient scheduling, registration, patient balances, medical records, data entry and processing.
Promoting excellent customer service by all levels of the staff
Understand the goals of the practice and work to obtain these goals both independently and with the direction of the Director. Assists patients, patients’ families, staff, physicians, and referring physicians to resolve patient-related issues and/or concerns.
Financial management to include overall responsibility of overseeing billing, reimbursement, and purchasing. Facilitates recruiting, hiring, orientation, and termination/off boarding of employees.
Maintain and support the practices software systems ECW. Incorporate new workflows into the practice to achieve efficiencies.
Maintain employee personnel files, benefits, and employment records, in accordance with state and federal regulations.
Works with staff to establish performance standards for work assignments, monitors work status, and progress including goals and objectives.
Assists in employee training, including office policies and procedures, compliance with government regulations including but not limited to HIPAA and OSHA.
Ability to apply protocols and procedures in a clinical setting including health information management, confidentiality, and safety.
Organize and prioritize responsibilities while remaining flexible to changing demands.
Professional communication and presentation skills, including face to face, email, telephone, and video conference
Ability to react calmly and effectively in high stress or delicate situations.
Excellent written and oral communication skills, with the ability to interact with patients, families, staff and others.
