POSITION SUMMARY
This is a blended role supporting the Mailroom and Accounts Payable (A/P. Mailroom primary responsibilities are receiving and sending packages, sorting/delivering mail, ordering supplies and coordination of large scale mailings. Also responsible for front desk back-up coverage (breaks, lunches, vacations). Accounting primary responsibilities are processing Accounts Payables into the general ledger system, including bills, invoices, employee expense reports and purchase orders. Both segments of the position operate in a customer-focused shared services environment.
ESSENTIAL FUNCTIONS
Mailroom:
- Maintain the mailroom for the efficient use of incoming and outgoing FedEx, UPS, and USPS packages.
- Sorts incoming USPS mail daily upon arrival.
- Maintains a supply o fall FedEx, UPS and USPS envelopes and boxes as well as a supply of mailing boxes (various sizes) for BSC shipping needs
- Maintain postage meter, folding machine and all other equipment in the mailroom.
- Maintain an adequate supply of standard office supplies to be used by the BSC.
- Order additional supplies for employees at the BSC as requested.
- Processes HR Termination Letters for HR Business Partners as requested.
- Contributes to the security of an organization by helping to monitor the access of visitors, coordinates with maintenance and IT Security and JA Security as needed.
- Responsive to both internal and external customers and vendors and provides excellent customer service.
- Any other duty, task or responsibility as assigned.
Accounting:
- Process timely and accurate payments.
- Help resolve discrepancies on price, quantity, etc.
- Process expense reimbursements.
- Ensures timely and accurate payment of vendor invoices.
- Responsive to both internal and external customers and vendors and provides excellent customer service.
- Maintains awareness of relevant department level service level agreements (SLA's) and works to ensure agreements are met.
EDUCATION AND CERTIFICATIONS
- Minimum Degree: Associate's Degree, vocational or technical school degree and/or equivalent years of work experience
- Special Requirements: Overtime and weekends as required
EXPERIENCE
- Minimum experience: Minimum 1-3 years general experience
- Legal Age Requirements: At least 18 years of age
- Must have standard, advanced, or expert skills in Microsoft Excel, Word, PowerPoint and/or Access or other applications.

PHYSICAL REQUIREMENTS
Work is performed in a typical office environment and may require standing, bending, lifting of boxes or packages under 10 lbs., and sitting for long periods of time.
Work requires regularly inputting/retrieving words or data into or from an automated/computer system.
