Mail Clerk
A Part-Time Mail Clerk is responsible for handling incoming and outgoing mail efficiently and accurately. The primary duties will include sorting, distributing, and processing mail items, as well as assisting with various administrative tasks related to mail management. This role requires strong organizational skills, attention to detail, and the ability to work independently with minimal supervision. Monday through Friday 10:00 am to 4:00 pm (approximately 25-28 hours/week).
What you will do…
- Receive and Sort Mail: Collect incoming mail from designated mailboxes or reception areas. Sort mail items by department, recipient, and/or priority.
- Process Outgoing Mail: Prepare outgoing mail for postage, including folding letters, stuffing envelopes, affixing postage stamps, and ensuring proper addressing.
- Coordinate with third-party shipping carriers or postal services for mail pickup or delivery.
- Distribute Mail: Ensure timely and accurate distribution of mail to appropriate recipients within the organization. Use internal mail delivery systems or other means of distribution as necessary.
- Pick Up Mail: Ensure timely and accurate pick up of mail from several buildings within a 10-mile radius driving a company vehicle.
- Handle Special Deliveries: Manage special mail items such as packages, registered mail, or courier deliveries. Follow established procedures for tracking, signing, and recording deliveries.
- Manage Mail Records: Maintain accurate records of incoming and outgoing mail, including tracking numbers, delivery confirmations, and other relevant information.
- Inventory Management: Maintain accurate records of miscellaneous supplies such as envelopes, brochures, and office stationery used at PEFCU locations.
- Stock Replenishment: Monitor inventory levels regularly and reorder supplies as needed to ensure adequate stock levels. Coordinate with the appropriate personnel or vendors to place orders in a timely manner.
- Fulfill Supply Orders: Fill, deliver, and ship all department and branch supply requests.
- Receive and Inspect Deliveries: Receive incoming shipments of supplies, verify quantities, and inspect for any damages or discrepancies. Document received items and update inventory records accordingly.
- Assist with Administrative Tasks: Collaborate with team members to ensure efficient operation of the mailroom and related administrative functions is done in a timely manner.
- Assumes other duties and responsibilities as assigned by management
What you need…
- Proficient with MS Office, Windows PC, and mailroom technology
- Strong communication skills
- Strong multitasking skills
- Basic knowledge of postal regulations and mail processing procedures
Proficiency in using office equipment such as postage meters, copiers, and scanners
Ability to interact professionally with coworkers and external contacts
Strong attention to detail and accuracy in handling mail
- Ability to lift, move, push or pull objects up to 50 lbs as necessary
- Valid Driver's License and clean DMV record
- 1-2 years of relevant experience
