Job description

As a member of a legal support team under the supervision of a Staff Services Manager I (SSMI), the Legal Specialist will provide day-to-day training of clerical and legal secretary staff in conjunction with the office's case management (CMS) and professional development sections (OPD). As part of the legal practice, the Legal Specialist will be analytical and be well versed in litigation, criminal, and administrative law procedures and practice to reinforce training provided by CMS and OPD; research, develop and train legal secretarial and clerical staff on section specific procedures and practice to expand their knowledge, skills and abilities. The Legal Specialist must have knowledge of Federal, State, California Rules of Court, and Local Court rules. The Legal Specialist will provide guidance and coaching, in all duties required of legal secretarial and clerical staff and experience with electronically sending correspondence, court forms, legal documents, and pleadings (e.g., petitions, briefs, opinions, notices, motions); must have knowledge of various department supported software such as Word, WestCheck, Legal Solutions, Microsoft Outlook, Adobe Acrobat, ProLaw and other desktop technology tools and communication devices, such as Microsoft Teams. The Legal Specialist will adhere to Departmental policies and procedures; ensure all documents are proofread, copied, processed (filed and served), and saved in accordance with legal requirements and deadlines are met.
The Legal Specialist will provide assistance and coaching to legal secretarial and clerical staff with establishing and maintaining an efficient system for filing correspondence, court forms, legal documents, pleadings, and other administrative tasks, such as processing invoices; have knowledge of state and departmental rules and regulations. The Legal Specialist must be proficient with court deadline requirements and the ability to provide guidance with calendaring of document due dates and court appearances with various legal practice areas including civil, criminal, public rights, and administrative law sections. The Legal Specialist will provide coaching and guidance to legal secretarial and clerical staff with other internal software applications used to make travel arrangements and process travel reimbursements. Working closely with legal support leadership, the Legal Specialist will develop and/or update section specific procedures to be used to train legal secretarial and clerical staff, and as reference in the course of their duties. The Legal Specialist will be responsible for staying up to date with court requirements, update related court charts and material. The Legal Specialist will also be assigned to various miscellaneous projects by the SSMIs, used to measure and/or enhance productivity, and meet other operational needs of the legal support teams.

Candidate must have experience working in a legal office, performing legal work. The most successful candidate will have substantive experience as a legal secretary, paralegal/legal analyst or legal supervisor. The experience and knowledge acquired will be used to provide training, coaching, and mentoring l egal secretarial and clerical staff; develop training material and references; as well as the chance to work in a variety of legal fields such as, but not limited to, civil , criminal , public rights, and administrative law s . The candidate will have mentoring, coaching and/or training experience; advanced computer skills and the ability to work independently or in a team environment; work cooperatively and tactfully with staff and management; demonstrate initiative and willingness to assume increased responsibility; ability to write and communicate effectively; use tack and discretion in dealing with confidential and sensitive issues; and excellent organizational and time management skills. Ability to demonstrate good attendance and punctuality.
