Job description

May Institute is seeking a Learning and Development Coordinator to join our aMAYzing community. Reporting to the Director of Learning and Development, this role will primarily support the coordination, administration, and tracking of our rapidly expanding Journey to Amazing Manager Program (JaMM) and future based leadership development initiatives.
Overview of Responsibilities:Program Communications and Administration:

  • Correspond with managers and other stakeholders regarding the Journey to Amazing Manager Program (JaMM) and future based professional development programs. This will include pre-work assignments, schedule/course changes, reminders about upcoming sessions.
  • Follow-up with program participants on routine questions or issues.
  • Problem-solve minor training-related issues with limited supervision.
  • Order/prepare printed materials specific to each training session; ensure all participants have requisite materials prior to each event.
  • Ensure relevant stakeholders, including the leadership team, are kept informed.
  • Monitor L & D performance data, prepare impact and activity reports at year end and as needed.
Program Coordination:
  • Coordinate and maintain the leadership/professional development learning calendar of events and programs and correspond with all relevant learners and stakeholders. Ensure all calendar events contain necessary details for effective scheduling (i.e., Zoom meeting links, relevant attachments)
  • Manage the coordination for the Journey to Amazing Manager (JaMM) and other virtual/on-site professional development programs.
  • Provide logistical support to Learning and Development initiatives, including material development, communications, and scheduling.
  • Organize and develop training manuals, testing and evaluation procedures, multimedia content creation, and other educational materials.
  • Provide logistics support such as materials assembly & delivery, lodging & food management, and space set up, to ensure successful learning events.
  • Manage vendor operations such as requests for information, scheduling of workshops, program communication, and participant coordination.
  • Coordinate reoccurring employee engagement and cultural activities.
  • Review and edit materials and global reports for accuracy and identify issues with detailed follow-up and proposed corrections for improvement.
Reporting and Analytics:
  • Maintain learning analytics (participation, feedback surveys) to prepare reports on employee engagement and program effectiveness.
Continuous Improvement:
  • Stay current on the latest trends in LMS application use and management.
  • Incorporate innovative ideas and strategies into training program management.
Key Competencies:
  • Effective communication skills, both written and verbal.
  • Exceptional organizational and time management abilities.
  • Strong project management skills, including the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Certifications or experience in instructional design, graphic design, training facilitation and event coordination preferred.
  • Meticulous with a focus on accuracy in reporting and data management.
  • Drive results with a focus on excellence, detail, and quality.
  • Proven problem-solving skills, especially in managing last-minute changes.
  • Ability to collaborate effectively with diverse teams and stakeholders at all levels of the organization.
  • Customer-focused approach when addressing inquiries and providing support.
  • Comfortable with data management/data manipulation.
Qualifications:
  • Bachelors’ degree in relevant field (i.e., Business Administration, Human Resources, Communications, Education, or a related discipline.
  • 3+ years previous HR/Training experience preferred.
  • Strong qualitative, analytical skills and organizational skills.
  • Strong interest in driving the behind-the-scenes components of a Learning and Development program, i.e., scheduling, reporting, data input, and analysis.
  • Fluent in English (reading and writing).
  • Excellent attention to detail.
  • Proficiency with full MS Office suite and technology tools including Dayforce LMS, Zoom and Teams.
  • Training coordination or event management experience preferred.
  • Experience with Employee Engagement Tools i.e., Culture Amp preferred.
