Salary:$55,000 - $65,000 / year
- Works in partnership with Vice President of Communications & Development to develop new initiatives such as a speakers bureau program, webinars, and/or podcasts to elevate Vinfen's thought leadership and content expertise.
- Plans produces, manages, and executes corporate public events, including the annual Moving Images Film Festival, the annual Celebration of Family Partnerships, and professional conferences and symposiums based on event objectives, key metrics, timeline, and budget.
- Oversees all levels of event planning and management (e.g.., timeline venue/vendors, budget, invoice processing, database management), works with key personnel (e.g.. Master of Ceremonies, speakers, legislators), and recruits and manages event volunteers.
- Partners with program staff to establish an event plan and marketing strategy (with Communications & Development team) for programs and services throughout the organization regarding community events, including open houses, fundraisers, charity races and walks, celebrations and art shows.
- Works with the Vice President of Communications & Development to market and promote events (including an annual event marketing plan), invite public figures and keynote speakers, and obtain media coverage, as required.
- Ensures adherence to planned format, compliance with regulations, cooperation between vendors, resolution of issues, and overall satisfaction of participants.
- In partnership with Vice President of Communications & Development and Legal Counsel, negotiates contracts with venue personnel, caterers, hospitality staff, A/V providers, and other vendors to acquire necessary services and activities for events while meeting budgetary objectives.
- Works in partnership with Development Manager to ensure sponsor relationships are honored throughout the event experience (e.g.., benefits including marketing, brand placement and recognition, registration, seating).
- Works in partnership with Senior Graphic Designer to create, track, and distribute the department's promotional and collateral materials (e.g.., banners, tablecloths, brochures, flyers and branded items).
- Assess the impact and effectiveness of each event through post-event evaluation and data analysis of key metrics.
- Strategically manages Vinfen's annual event calendar in a cadence optimized for steady success throughout the fiscal year.
- Monitors industry trends and best practices to ensure continued assessment and enhancement of event strategies across organization.
- Builds strong relationships across the organization to stay current on organizational services, offerings, and partnerships.
- Evaluates potential locations, vendors, and other professionals to determine viability for future Events and build a personal knowledge base to better serve the organization's community.
- Must be present for all organization events including those that occur past business hours and on weekends.
- Assists with execution of programs and projects, including but not limited to, preparing mailings, scheduling/recording meetings, and vendor relations.
- Assists with Annual Giving stewardship Events and collaborative across internal business and service units as well as external partners as needed.
- Leads creative review process for direct marketing and internal appeals by soliciting feedback internally and communicating with agency partners keeping deliverables on schedule. Works with internal and external partners to create a pipeline of new content.
