Postion Summary:
As part of the Development and Communications team, the Development Events Coordinator organizes and executes events and engagement activities sponsored by the development department. The ideal candidate for the role will excel in project coordination and have strong writing and organizational skills. They will demonstrate finesse in interacting with various constituents, possess valuable experience in event planning, and exhibit an ability to manage competing priorities and multiple projects concurrently, each at different stages in their respective timelines.

The Development Events Coordinator will report directly to the Director of Development and be an integral part of ensuring the successful production of events and supporting the development team to further Crossroad’s mission. This position is based at the Crossroads administrative offices in Duxbury, with an option for a flexible hybrid schedule that balances in-office time with working from home. The position requires reporting to the office at least 1x/week.

Responsibilities:

  • Manages and executes special events, including the Urban Campfire fundraiser, the Community Action Day, and the C5 Golf Tournament based on event objectives, key metrics, timeline, and budget.
  • Oversee all development event logistics (from concept to follow-up), including timelines and implementation plans, managing budgets, auction/software management, permits, speaking program/run of show, coordinating vendors and volunteers.
  • Works closely with the Development Director to ensure events remain within budget.
  • Works with Development Manager to ensure sponsor relationships are honored throughout the event experience (e.g.., benefits including marketing, brand placement and recognition, registration, seating).
  • Complete administrative tasks including nametag creation, tracking of RSVPs, and ordering event supplies.
  • Assist with staff preparation for events, including briefings, logistics and day-of execution, follow-up with participants, collection of contact notes, cataloging of next steps, and record-keeping.
  • Create and update tools to support efficient and accurate oversight of the events program’ research and implement event management systems to improve processes and planning.
  • Maintain the department’s record of events, meeting invitations, and donor participation in the database.
  • Assess the impact and effectiveness of each event through post-event evaluation and data analysis of key metrics.
  • Serve as liaison for third-party hosted events, to maximize fundraising for Crossroads (promotion, marketing materials, fundraising tools).
  • Serve as point person for stakeholder engagement activities for loyal donors and major gift prospects—oversee invitation process, scheduling, day of activity and follow up.
  • Works with Communications Director to create, track, and distribute the department's promotional and collateral materials (e.g.., banners, tablecloths, brochures, flyers and branded items).
  • Assists Communications Director in maintaining/curating Crossroads photo archive.
  • Builds strong relationships across the organization to stay current on organizational services, offerings, and partnerships.
  • Must be present for all organization events including those that occur past business hours and on weekends.
  • Performs other duties as assigned.

Experience:

  • At least three years' experience working in communications, development, marketing or related field.
  • The ideal candidate is highly organized, entrepreneurial, analytical and has experience in managing donor/prospect databases and event management platforms effectively.
  • Deep appreciation for the organization's mission for empowering young people to realize their potential and positively impact the world.
  • Extreme attention to detail and a passion for accuracy with the ability to achieve results.
  • Superior organizational skills.
  • Ability to successfully manage and execute multiple projects at one time.
  • Ability to build relationships with all levels of management, volunteers, and donors in a professional manner.
  • Self-starter who has the ability to work both independently, as well as in a team environment; ability to take directions well.
  • Strong communication skills.
  • Night and weekend work may be required before and during select events.
  • Sense of humor!
