Provides services at the Pediatric and Adolescent Transformative Health (PATH) Clinic. PATH is a 12-member collaborative led by Saint Anthony and will provide an innovative structure for a Behavioral Health Home (BHH) serving children, adolescents, and families on the west and southwest sides of Chicago.
Position Purpose: The Lead Medical Administrative Assistant will work closely with the front desk team to ensure efficient patient flow and compliance with established target goals for the clinical area.
Essential Functions:
The lead medical administrative assistant will work closely with the front desk team to ensure efficient patient flow and compliance with established target goals for the clinical area.
Lead and guide the medical administrative team in delivering outstanding service.
Schedule and delegate tasks to Medical Assistants to optimize the flow of appointments and procedures.
Train new medical administrative assistants in specialized techniques and protocols for the PATH clinic.
Handle team dynamics and conflicts effectively to maintain a harmonious work environment.
Assist in the supervision of the work performance of the medical administrative assistants.
Prepares patient for examination by performing an initial patient screening. This includes obtaining vital signs, documenting patient’s medications and allergies, documenting patient’s pain rating, initiating the patient’s personal, family, and social history, and other relevant patient data.
Conducts patient/guarantor interviews, explains PATH clinic policies, assists patients to understand financial responsibilities, and informs patients on bill of rights. Ensures all necessary demographic and financial data is obtained and accurately documented.
Act as cashier and collect payments from patients and departments. Contact insurance payers for verification of eligibility and benefits as needed.
Ensures any pre-certification/authorization is obtained, to meet individual payment protocols.
Ensure all pertinent patient information is available to the clinician at the time of examination. Record all patient data in the patient’s chart in accordance with department policy.
Communicates with physicians and other medical staff for intake of medical diagnosis or procedures for patient reservations as well as interpreting physician orders for ancillary services. Access the on-line LMRP to check CPT codes against ICD9 codes for medical necessity for all outpatient Medicare patients.
Ensures that claims are transmitted electronically each day to the appropriate payer. Ensures that claims that cannot be billed electronically, are printed and mailed as needed.
Assesses inventory levels of medical/therapy supplies to maintain adequate stock.
Ensures all supplies and equipment is organized, clean and disinfected in accordance with infection control standards.
Provide translation services for patients and therapists as needed.
General Job Requirements
High school diploma or GED Required
Active Certification as a Certified Nursing Assistant or Medical Assistant Required
Prior experience as a Certified Nursing Assistant or Medical Assistant is highly preferred
1–3 Years of managerial experience overseeing a medical and/or administrative team
Ability to communicate effectively in both English/Spanish Required
CPR certification upon hire or within 3 months of employment Required
Previous experience admitting or registration work preferred
Ability to type a minimum of 35 wpm without errors
Knowledge of commercial and managed care payor and terminology is highly preferred
Ability to demonstrate exceptional customer service and telephone etiquette in a consistent manner.
Course work related to medical terminology preferred
Analytic and problem-solving skills required
Excellent documentation skills (including grammar, spelling and punctuation).
Ability to adjust priorities quickly, organize multiple tasks simultaneously.
